Full Job Description
The Administrative Assistant provides a wide variety of essential administrative support and clerical support to facilitate the efficient operation of the 1911 Office, LLC, a single-family office based in Keene, NH. Core responsibilities will include but not be limited to:
- Providing clerical services including scanning, photocopying, faxing, and mailing.
- Coordinating filing system according to approved 1911 Office procedures to maintain the current electronic and hard copies in a timely, efficient manner. Ensuring files are up-to-date and clearly and consistently marked for easy access.
- Scheduling and coordinating meetings and appointments, including sending calendar invitations and setting up Zoom links.
- Preparing and modifying documents including correspondence, reports, drafts, memos, and e-mails as requested.
- Conducting research, compiling data, and preparing paperwork to support projects as needed.
- Picking up and dropping off mail at post office; opening, sorting, and distributing mail.
- Monitoring office supply inventory and ordering office supplies.
- Attending meetings and recording meeting minutes.
Supervisory Responsibilities:
This position currently has no supervisory responsibilities.
Work Environment:
This position is performed inside, in a temperature-controlled environment, with noise limited to that of a typical office environment.
Physical Demands:
This position requires sitting or standing, and occasional bending and lifting of up to 10 lbs.
Status:
This is a full-time, non-exempt position and is eligible for overtime. Salary is set at an annual amount and paid in substantially equal installments on a monthly basis in accordance with 1911 Office’s standard payroll practices for salaried employees.
Expected Hours of Work:
Typical hours are Monday through Friday 9 a.m. to 5 p.m., although there is substantial flexibility in the exact hours, and all employees currently work from home on Fridays. Every once in awhile a meeting may occur outside of regular office hours.
Travel:
This position may require some infrequent travel.

Qualifications, Skills and Knowledge Required:
- Strong organizational skills with excellent attention to detail and accuracy.
- Highly knowledgeable about best practices for administrative procedures and systems such as filing and record-keeping.
- Excellent interpersonal skills; warm, engaging, and able to work effectively with many different personalities and styles.
- Excellent computer skills and knowledge of relevant software, such as Google Workspace.
- High level of initiative and ability to anticipate next steps.
- Excellent problem assessment and problem-solving skills; exercises sound judgment.

Benefits
Compensation: Starting salary range is $50,000 to $60,000 per year, commensurate with experience.
