Job Overview:
We are looking for an experienced Executive Assistant to provide high-level administrative and secretarial support to our senior executives.
Responsibilities:
- Check and respond to daily emails.
- Organize and maintain executive’s files and documents.
- Manage calendars, schedule appointments and make travel arrangements.
- Requires a personal vehicle in order to perform various errands and travel between our Corporate HQ and our Fulfillment Center in Milwaukee, WI (about a 15 minute drive).
- Data entry, word processing, prepare spreadsheets and assist with presentations.
- Coordinate with department heads, executives and managers regarding documents for approval and other matters.
- Review and summarize written materials.
- Review and monitor company statistical platforms and prepare statistical reports.
- Prepare and organize materials for meetings and presentations.
- Attend meetings and take minutes.
- Conduct research and gather information as required.
- Process and manage expense reports and invoices.
- Maintain confidentiality of sensitive information and documents.
- Coordinate building visits and facility access for contractors and visitors.
- Perform other administrative tasks as required.
Requirements
- The #1 requirement of this role is resourcefulness. We are looking for a candidate with a “can do” attitude who has a demonstrated track record in problem solving (from small things that need to be addressed quickly to complex matters that require long term organization and excellent project management).
- Proficient in the Google Workspace platform including Drive, Gmail, Google Meet, Docs, Sheets, Forms and Slides.
- Bachelor's degree in Business Administration, Secretarial Science or a related field preferred.
- At least 3 years of experience as an Executive Assistant or in a similar role.
- Ability to work successfully with colleagues across all teams and levels within the company.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle multiple tasks and prioritize effectively.
- Discretion and confidentiality in handling sensitive information.
- Willingness to work flexible hours when required.
- Requires a vehicle in order to perform various errands.
This role may require night/weekend adjustments and therefore doesn’t have set “business hours”; however, most operations, meetings and work is expected to be done during business hours M-F central time.
