Requirements

As the Office Manager at ZeroAvia, you will play a crucial role in providing onsite administrative management of our facilities in Everett, WA, as well as virtual management and support to our facilities in California and remote employees across the US. Your ability to exercise independent judgment is critical for success in this role. You must be able to make decisions in a “high velocity” environment to effectively support and coordinate smooth office operations across different locations and provide seamless administrative assistance to the Company’s internal and external stakeholders. ZeroAvia’s Office Manager will have a significant impact on ZeroAvia supporting both current day-to-day operations and future growth in the US.

Responsibilities

  • Onsite administrative office management of ZeroAvia’s Everett, WA facilities to assist with and maintain smooth daily operations.
  • Virtual administrative office management and support of ZeroAvia’s facilities in Hollister, CA and its remote workforce across the US.
  • Manage and monitor administrative/office budgets and expenses for all US locations.
  • Support Health, Safety, and Environment (HSE) training through tracking attendance, completion, and compliance.
  • Lead and execute on various corporate special events and promotions.
  • Responsible for management and oversight of corporate apartment(s) including but not limited to coordination of maintenance and cleaning, booking, and tenant/guest relations.
  • Assist People Operations with various administrative aspects of US employee onboarding and offboarding.
  • Serve as primary point of contact for all general inquiries regarding ZeroAvia’s US locations including appropriate handling of incoming/outbound correspondence and communication.
  • Provide supplemental administrative support the Company may need such as: coordinating travel arrangements and meetings/appointments for stakeholders, customers, and/or other third-party partners of ZeroAvia; providing onsite visitor support to ensure a positive experience; and maintaining and updating important
  • Company records, databases, and filing systems.
  • Collaborate and support with other departments and stakeholders on ad hoc projects and initiatives as needed.

Experience

  • 5- 8 years of proven experience as an Office Manager or similar administrative role
  • Excellent organizational and time management skills
  • Strong communication and interpersonal abilities for virtual, remote, and global collaboration
  • Proficiency in MS Office Suite and virtual collaboration tools
  • Ability to multitask and prioritize tasks effectively across different location.
  • Excellent problem-solving skills.
  • Attention to detail.
  • Ability to work independently and in a team.
  • Strong decision-making abilities.
  • Exceptional customer service skills
  • Knowledge with MS Office 365
  • Experience in budget management.
  • Familiarity with HSE protocols
  • Proficiency in Netsuite ordering and inventory management.
  • Excellent interpersonal skills, as well as good written and oral communication skills. · Excellent level of spoken and written English (additional languages a plus).
  • Able to travel domestically.

Benefits

The wage scale or salary range for this position is between $70,000 - $90,000. In addition to the foregoing base compensation, additional compensation and benefits are available to employees and eligible family members (as applicable) including the following:

💫 Short-Term Disability: Up to 60% of your earnings for up to a period of 24 weeks.

🤒 Long-Term Disability: If your disability extends beyond 180 days, LTD Coverage for up to 60% of your earnings.

🏖️ Paid Time Off: Eligible employees may accrue up to 120 hours per year (15 days) and may borrow up to 40 hours (5 days).

🩺 Sick Time: Eligible employees may accrue up to 40 hours, per year (5 days)

🏖️ Paid Holidays: 12 observed holidays, per calendar year.

🛩️ The Fly Club: up to $2,000 of reimbursement towards flying lessons to all full-time staff
