About This Role

TaskForce seeks a strategic and highly organized Head of Operations to support team operations to mobilize voters in the 2024 election. The Head of Operations for Culture 2024 will be responsible for internal communications, finance management, HR compliance, and other operational responsibilities. This role reports to TaskForce’s Founder and Chief Cultural Officer (CCO). The Head of Operations will be a part of a 15+ person 2024 cultural engagement team. This position is remote but may require travel, including to Detroit, Milwaukee, Atlanta, Phoenix, Philadelphia, and Las Vegas.

Term of Contract

This is a short term contract beginning June 1st and ending Nov 30th.

Salary and Compensation

$125,000-150,000 annually (compensation is prorated for contract term), commensurate with experience.

Key Responsibilities

EXECUTIVE SUPPORT & STAFF COMMUNICATION

  • Support the CCO and CEO in the smooth running of team operations, including assistance with setting and achieving strategic goals  
  • Lead on internal communications, including updates to staff regarding operational and financial matters
  • Keep a pulse on all facets of the company and gather/prioritize information that is critical for the CCO and CEO to function optimally

LEGAL & COMPLIANCE

  • Conduct research to ensure legal and fiscal compliance (campaign/political)
  • Create and oversee contracts with vendors, partners, and other external parties
  • Secure required Certificates of Insurance and insurance policies as needed
  • Ensure compliance with state labors for all staff, contractors, and vendors hired across multiple states 

FINANCIAL MANAGEMENT

  • Reduce redundancies in finance processes, implementing efficient cost-saving practices to optimize expenditure 
  • Oversee workflow of staff across the entire organization and remedy any challenges that arise
  • Coordinate day-to-day financial functions of the team to:
    • Maintain cash flow projections by monitoring bank balances, AR, and billing
    • Set up new contractors and vendors for payment 
    • Manage accounts payable to ensure the firm makes timely and accurate required payments, including working to improve the payment and budgeting process and serving as the main contact for payment-related questions
    • Manage accounts receivable, ensuring timely and accurate revenue by issuing and sending invoices; recording and tracking payments, and resolving any discrepancies. 
    • Monitor and track expenditures and transactions against budgets and ensure all expenses are billed against the appropriate account
    • Review employee credit card spending and complete monthly employee expense reports 
  • Advise and support CEO in budget formation and forecasting, and contribute to the review and administration of the budget and comparisons of budgeted to actual spending 
  • Coordinate vendor agreements and other administrative documents and processes; and maintain documents and records in Google Workspace 
  • Assist the CEO with creating financial reports 
  • Answer team finance-related inquiries and assist in resolving payment-related questions

Requirements

  • 10+ years experience in operations 
  • 7+ years of experience in financial management
