Position Overview đź’Ľ
We are looking for an experienced, proactive, and highly organized Executive Assistant who will not only provide top-level support to the CEO and leadership team but also take on a range of operational responsibilities across the company. This role extends beyond traditional EA duties to include managing customer support operations, assisting the sales and marketing teams, contributing to event planning, and supporting company-wide operational efficiency.
Responsibilities 🌟
- Executive Support:
- Manage the CEO’s and leadership team’s calendars, including scheduling meetings, coordinating travel, and handling logistics.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Serve as the primary point of contact between executives and internal/external stakeholders.
- Operational & Administrative Support:
- Manage customer support using Zendesk, including answering support tickets, escalating issues when necessary, and ensuring customer satisfaction.
- Assist the sales team with Hubspot, creating prospecting lists, maintaining data hygiene, and generating reports to support sales outreach.
- Provide marketing admin support, including enabling and managing push notifications, coordinating email campaigns, and assisting with other marketing initiatives.
- Project Coordination:
- Support in planning and executing special projects, events, and company-wide initiatives.
- Track deadlines and ensure project milestones are met.
- Conduct research, prepare reports, and provide data analysis as needed.
- Cross-Departmental Collaboration:
- Work closely with various teams—Sales, Marketing, and Product—to ensure smooth operational workflows and communication.
- Contribute ideas and solutions to help optimize processes across departments.
- Communication Management:
- Draft, edit, and manage internal and external communications on behalf of the leadership team.
- Ensure timely responses to emails, messages, and other correspondence.
- Event Planning & Coordination:
- Organize and manage logistics for company events, including conferences, offsite meetings, dinners, and team-building activities.
- Coordinate travel, venues, catering, and schedules for both virtual and in-person events.
- Confidentiality & Discretion:
- Handle sensitive information with the highest level of confidentiality and professionalism.
Requirements
- 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role, with exposure to cross-functional business support.
- Proven ability to manage multiple responsibilities across different areas, such as customer support, sales, and marketing.
- Experience in event planning, including organizing conferences, team off-sites, and dinners is required.
- Proficiency with productivity tools like Google Workspace, Microsoft Office, and experience with Zendesk and Hubspot is a plus.
- Strong organizational, multitasking, and communication skills.
- Ability to work independently and prioritize effectively in a fast-paced environment.
- Experience handling confidential information and communicating with stakeholders.
- Bachelor’s Degree or equivalent experience is preferred.
