Position Summary:

The Accounting Specialist provides finance, accounting, and general administrative support to RLF and for select organizations pursuant to RLF service agreements.

This position is full-time, non-exempt, and reports to the Accountant. This is a remote position (8am – 5pm PT hours preferred) with travel to Sacramento required at least quarterly.

Duties Include:

Accounts Payable

  •  Process all weekly administrative invoices in AP system and serve as a point of contact for AP system questions, issues, enhancements, etc.  
  • Support the weekly grants/contracts disbursements and processing of wire payments.
  • Lead the timely follow up, reconciliation, and re-issuance of payments, refunds, and other adjustments.  
  • Monthly, prepare required EDD reporting for any new contractors
  • Collaboratively work with the philanthropic team on payment processing, research on prior payments, past due disbursements, and encumbrance data cleanup.

 

Employee Expense Report Management

  • Process weekly employee cash reimbursements and reconcile CFO’s monthly credit card expenses, including obtaining receipts and coding.
  • Support in the management and improvement of our expense reporting system

 

Month-End Close

  • Prepare monthly close journal entries for review including but not limited to cash transfers, bank fees and interest, misc. payments, intercompany expenses. 
  • With the Accountant, reconcile monthly bank accounts.
  • Share in general monthly support by pulling various reports, statements, saving files, etc.

Other Duties

  • Continuously evaluate policies, recommend improvements, and document processes.
  • In the absence of team members, provide back-up coverage where appropriate.
  • Assist Finance Department with document organization and audit support.
  • Undertake special projects and other tasks as assigned.

 

Qualifications

  • Good working knowledge of accounting and finance practices, not-for-profit experience a plus.
  • 2-3 years Account Payables experience.
  • Ability to reconcile information from different sources, the ability to analyze information in spreadsheets and the ability to accurately record information in accounting systems and records.
  • Solid knowledge of office practices, processes, and procedures and thorough knowledge of office applications.
  • Good oral and written communication skills and excellent organizational skills.
  • Flexibility in working style, marked by an ability to work closely with a wide range of personality and organization types and teams.
  • Ability to resolve conflicts professionally and maintain patience, grace, and humor under pressure.
  • Ability to adhere to numerous deadlines, conflicting priorities and handle multiple tasks efficiently. Ability to receive, balance, and handle direction and input from multiple colleagues.
  • Technological abilities to ensure compliance with confidentiality policies and procedures necessary for the protection of RLF data, and to efficiently complete tasks.
  • Capacity to respond rapidly and appropriately to changing priorities, objectives, and situations; self-starter with sense of initiative and good judgment.

Compensation and Benefits

Starting pay is $30 per hour (approximately $56,000 annually). 401k plan with a 5% match, and generous paid time off. RLF also offers a technology allowance, student loan repayment assistance, the Calm app, mental health benefits and approximately 16 paid holidays per year.
