Full Job Description
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to Director’s working life and communication.
Responsibilities
- · As the Personal Assistant to the CEO, you will play a vital role in supporting the efficient operation of the business · You will provide administrative assistance, manage schedules, coordinate meetings and travel arrangements, and handle various tasks to ensure the smooth functioning of the CEO's office. · Manage the CEO’s calendar, schedule appointments, and coordinate meetings, conference calls, and travel arrangements · Act as the primary point of contact for internal and external stakeholders, including clients, vendors, and team members, and screen incoming communications · Prepare and organize documents, reports, presentations, and other materials as needed for meetings and presentations · Coordinate logistics for special events, conferences, and industry meetings attended by the CEO. · Handle confidential and sensitive information with discretion and professionalism. · Perform general administrative tasks, such as managing correspondence, filing documents, and maintaining office supplies.
Requirements
· Must have a College or University Degree
· Proven experience as an administrative assistant, executive assistant, or similar role.
· Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
· Strong communication skills, both written and verbal, with a professional and courteous demeanor.
· Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
· Ability to handle confidential information with discretion and maintain a high level of confidentiality.
· Detail-oriented with a proactive and resourceful approach to problem-solving.
· Flexibility to adapt to changing priorities and work independently with minimal supervision.
· Preferably someone who can speak Mandarin/Spanish and English
