About the Role

You will join our small but rapidly growing Business Operations team to be the Office Manager at Giga Energy’s Houston Office. Your responsibilities will be wide-ranging, with a particular focus on administrative tasks, event and conference planning, purchasing, and errands.

Responsibilities

  • Manage the day-to-day operations and administrative functions of the Houston office, ensuring a professional, organized, and efficient work environment.
  • Serve as the primary point of contact for office-related inquiries, requests, and communications.
  • Coordinate and plan company events, meetings, and conferences, including venue sourcing, logistics, and attendee management.
  • Oversee office supplies inventory and place orders for equipment, furniture, and other necessary materials.
  • Handle petty cash management, vendor invoicing, and other financial record-keeping tasks.
  • Liaise with building management and vendors for facility maintenance, repairs, and cleaning services.
  • Organize and maintain filing systems, both digital and physical, for important documents and records.
  • Coordinate travel arrangements, including flight and hotel bookings for employees as needed.
  • Run errands and perform ad-hoc administrative tasks as required, such as shipping, receiving, and distributing mail/packages.
  • Assist in onboarding and offboarding processes for new and departing employees.
  • Maintain a positive, professional demeanor and provide outstanding customer service to internal and external stakeholders.

Requirements

  • Associate's degree or equivalent experience in office administration or a related field.
  • Minimum of 2-3 years of experience in an office manager or administrative support role.
  • Strong organizational and multitasking abilities, with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment and systems.
  • Experience in event planning, vendor management, and coordinating logistics.
  • Excellent written and verbal communication skills, with a customer-service mindset.
  • Ability to exercise sound judgment, discretion, and maintain confidentiality when handling sensitive information.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and work well under pressure in a fast-paced environment.
  • Familiarity with basic accounting and record-keeping principles is a plus.
