The Office Manager role at Restore is important for the employee experience at Headquarters (HQ) and ensures not only that office functions and daily activities run smoothly, but also that employees have a robust, positive and productive environment and experience. As a member of Restore’s Human Resources team, the person in this role will serve This position is full time and reports to the Director of Human Resources.

Role Responsibilities

  • Organization: 
    • Managing office layout, filing systems, and supplies
    • Mailing and receiving shipments
    • Managing the overall traffic flow in and out of the front doors, from visitors to HQ to food deliveries to packages
  • New Hires:
    • Oversee HQ new hires’ first day, including creating a welcoming and clean desk environment, coordinating and ordering lunch, communicating with their Manager on first day expectations, and more
    • Manage HQ new hire orientation and ensure that every new employee has a robust and positive experience at Restore
    • Review and send I-9 documentation to HR team and perform other onboarding tasks as needed
  • Executive Committee Support:
    • Coordinating and schedule meetings, appointments, interviews, and events using Google Calendar
    • Act as the point person for the CEO’s calendar
    • Set up meeting rooms and order provisions as needed
  • Employee Experience:
    • Execute monthly employee milestone celebrations
    • Represent the HR team at Company Stand Up meetings regarding employee celebrations and office events
    • Plan and execute fun and innovative events for all HQ employees, including annual holiday party, summer party, happy hours, lunches and more
  • Kitchen & Facilities:
    • Ensure that the kitchen is clean and organized; ensure that Restore’s office culture is one that pitches in to make sure this communal space is a well-stocked, sanitary place of food, beverage, and supplies
    • Oversee the corporate vending supply account with attention to detail on items like backstock, budget and variety of snacks, beverages and other items in the kitchen area
    • Maintain business property and equipment, arranging repairs and cleaning as necessary
    • Manage all vendor relationships, including but not limited to, kitchen vending services, beverage machine, carpet cleaners, shredding machine, cooling & heating, property management office, and more
  • Administrative: 
    • Provide administrative support, such as preparing letters and presentations, updating contacts databases, proofreading emails, and more
    • Oversee Navan travel account
  • Communication: Handle correspondence, complaints, and queries, and keep management informed of all communication
  • Safety: Ensure health and safety policies are up to date, including required documentation such as labor law posters

Requirements

Role Requirements

·       4+ years working as an Office Manager or other key support role for a startup or similarly situated organization

·       Excellent communication skills, both verbal and written

·       Strong reliability and dependability

·       Experience supporting an Executive team

·       Proven knowledge of and experience in planning and coordinating innovative employee experiences

·       Experience in conducting new hire orientations and onboarding new employees

·       Previous experience in wellness, medical, or multi-unit retail a plus

·       The ability to lift 30 lbs or more inconsistently (moving, carrying or pulling a heavy box or item across the office)
