Job Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office and ensure it runs smoothly and efficiently. The ideal candidate will be responsible for maintaining a positive work environment, managing administrative tasks, and supporting staff to optimize productivity.
We are looking for someone to work 20-40 hours and are flexible for either part-time or full-time employment.
Key Responsibilities
- Office Operations & Maintenance:
- Oversee and coordinate office activities and operations to secure efficiency and compliance with company policies.
- Manage office supplies, inventory, and procurement of equipment and services.
- Ensure the office is clean, safe, and properly maintained.
· Payroll & Benefits Administration:
- Manage payroll processing to ensure accurate and timely payments.
- Act as the liaison between the company and benefits providers, including health insurance, retirement plans, and other employee benefits.
- Administrative Support:
- Serve as the point of contact for internal and external stakeholders, including vendors, contractors, and service providers.
- Manage incoming and outgoing correspondence, including emails, mail, and phone calls.
- Organize and schedule meetings, appointments, and travel arrangements for staff and executives.
- Budget & Finance Management:
- Monitor office expenses and prepare expense reports.
- Work with finance or accounting teams to track invoices, payments, and budgets.
- HR Support:
- Assist in onboarding new hires and maintaining employee records.
- Ensure compliance with HR policies, including timekeeping and benefits administration.
- Organize team-building activities and company events.
- Technology & Tools:
- Coordinate with IT support for office technology and systems maintenance.
- Manage software licenses and office technology subscriptions.
- Compliance & Safety:
- Ensure compliance with health and safety regulations.
- Act as the liaison for building management and emergency procedures.
Requirements
Requirements & Qualifications
- Proven experience as an Office Manager, Administrative Manager, or similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in office software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., Asana, Trello).
- Knowledge of basic bookkeeping and budgeting principles.
- Ability to multitask and prioritize in a fast-paced environment.
Preferred Skills
- Familiarity with HR processes and procedures.
- Experience managing facilities or vendor contracts.
- Problem-solving mindset and ability to adapt to evolving priorities.
