Stage 3 Separation is a dynamic and innovative company dedicated to providing efficient and environmentally friendly solids control solutions. We are seeking a highly organized and proactive Administrative Assistant to join our team and ensure our office operations run smoothly.
Position Overview: Our Administrative Assistant will be responsible for overseeing the day-to-day administrative duties of our headquarters office, including ordering supplies and lunches, and greeting visitors. The ideal candidate will have exceptional organizational skills, a friendly customer services attitude and a proactive approach to everything relating to administration. This position will work Monday through Friday - 8:30am - 5:00pm and will report to the Executive VP of Administration.
Essential Functions:
- Oversee and coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Greet visitors and answer main door.
- Manage office supplies inventory, order new supplies as needed, and ensure timely distribution.
- Maintain a clean and organized office environment, including shared areas, conference rooms, lunchroom and shared open areas.
- Serve as the primary point of contact for office-related inquiries and issues.
- Ensure proper maintenance of office equipment, coordinating repairs when necessary.
- Assist with team events, meetings, parties, and office-wide communication, when required.
- Foster a positive and collaborative work environment.
- Answering main phone line and distribute calls as necessary.
- Handle and retrieve company mail, distributing to proper recipient and forward company mail and special correspondence (couriers) as needed.
- Will be required to run errands, when required.
Requirements
- · Strong organization skills.
- · Excellent communication skills and phone etiquette.
- · Ability to handle confidential information with discretion.
- · Ability to prioritize tasks effectively.
- · Computer literate with knowledge of Microsoft Office Suite and Outlook.
- · Typing speed and accuracy.
- · Must be able to communicate and correspond fluently in English, at a professional level.
Minimum Required Education, Credentials, Licenses and Experience:
- 3+ years of administrative assistant experience, working in a professional office environment, is required.
- GED, required.
- Valid Texas Driver's License.
- Spanish speaking, preferred.
- Proficiency in office software, Microsoft Office Suite and Outlook, required.
