Full Job Description
- Emulate and promote the ONE 2 ONE culture by adhering to the vision, mission and core values.
- Provide exemplary customer service to all existing and prospective customers
- Provide a 5-star experience
- Manage and maintain executive calendars, including scheduling meetings, appointments, and calls.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle and prioritize incoming emails, phone calls, and other communications.
- Coordination and scheduling of sales qualified leads (SQLs)
- PowerPoint preparation for outside sales presentations
- Arrange travel and accommodation for trips, including itinerary management.
- Personal Assistance
- Organize, coordinate, and attend meetings, including preparing agendas, taking minutes, and following up on action items.
- Coordination with various departments to gather necessary information and resources
- Conducting research on trends, competitors, and other relevant topics to provide insights to Visionary / CEO
- Review and approve timesheets
- Primary point person / liaison between Visionary / CEO and employees and clients
- Assistance in planning and execution of projects to ensure deadlines are met
- Update scorecards to track company / department metrics
- Update social media posts
- Record time and notes for Visionary / CEO in CRM software, ConnectWise
Requirements
- Strong skills in managing schedules, coordinating meetings, and handling multiple tasks.
- Attention to detail in managing documents, correspondence, and scheduling.
- Effective prioritization of multiple tasks and deadlines.
- Clear and professional interaction with executives, clients, and staff.
- Proficiency in drafting and editing emails, reports, and other documents.
- Ability to work well with diverse teams and manage relationships effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), or other relevant software.
- Experience with CRM systems or other database tools.
- Skills in managing projects, tracking progress, and ensuring deadlines are met.
- Efficiently using resources and managing budgets if needed.
- Maintaining confidentiality and exercising discretion with sensitive company information and executive matters.
- Ability to anticipate needs, solve problems proactively, and handle unexpected issues.
- Making informed decisions quickly and efficiently.
- Ability to adapt to changing priorities and handle a variety of tasks as needed.
- Maintaining composure under pressure and managing stress effectively
