Textum OPCO, LLC is hiring an Administrative Assistant to work in our Miamisburg, OH composite manufacturing operation.

The industries that we serve include aerospace, space, defense, energy, and infrastructure. Whether it's thermal protection systems for space vehicles, preforms for CMC components, or preforms and fabrics for carbon-carbon processing, we have the experience and expertise to help ensure our customer's success both as a reinforcement provider and through delivery of finished parts.
We are looking for a qualified Administrative Assistant to support customer service, purchasing, accounts receivable, payable and most general activities related to composite manufacturing as well as facilities support. The ideal candidate will have experience with basic accounting duties, working in an ERP system, and acting as an interface between purchasing, finance and production. They will be expected to maintain customer records, while keeping them updated including invoices and payment records, while responding to customer orders and ensuring they are entered into the ERP system timely and accurately. They will support all aspects accounting and finance.
This is a full-time, direct hire position with 1st shift hours.

Responsibilities
Perform a wide variety of coordination tasks, including but not limited to:
- Maintaining customer records: Keeping customer files up to date, including invoices and payment records
- Responding to customer orders and inputting them into ERP system
- Assisting with month-end closing: Contributing to month-end closing activities and reconciliations
- Creating and sending invoices: Preparing and sending invoices to customers
- Communicating with customers: Responding to customer inquiries and resolving billing issues
- Customer Shipping
Purchasing
- Maintaining Vendor records: Keeping vendor files up to date, including invoices and payment records.
- Maintaining Vendor Purchase Orders – matching POs to receiving docs
- Creating and processing Vendor POs per requests in ERP system
- Maintaining Asset records: Keeping Asset files up to date, including invoices and payment records
- Maintain Vendor Price changes in ERP system
Accounts Receivable
- Managing customer payments: Entering payments and refunds into accounting systems, and processing transactions (includes depositing checks via desk top machine)
Accounts Payable
- Matching Invoices to received POs and Misc packing Slips
- Entering AP invoices in ERP system
- Weekly Check Run – Matching payment record to Invoices (Checks/ACH)
General
- Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations
- Creating UPS/FedEx small package shipments
Requirements
- Must be an Exclusive US Citizen
- A high school diploma is required
- A minimum of 3-5 years experience in an Administrative Support role
- Experience working with accounts payable and receivable, purchasing and general admin preferred
- Experience working with ERP system a plus
- Ability to work in a fast-paced environment autonomously and under pressure and complete all assigned tasks
- Ability to communicate effectively orally and in writing and perform basic math calculations
- Ability to solve problems using existing procedures to perform straightforward tasks
- Can work well with others in a diverse group and foster a cooperative work environment
- Possess a working knowledge of MS Office
- Ability to operate a variety of hand tools and machinery
- Candidates will be required to pass a drug test
