Full Job Description
We are seeking a highly organized individual to fill our in-person Purchasing Coordinator role. The ideal candidate will have at least 3 years of experience in procurement, purchasing, or supply chain management, preferably in the scenic production/retail display industry. Additionally, they must be detail-oriented, possess the ability to multi-task and be familiar with working in a fast-paced environment. A fundamental understanding of the wide range of fabrication materials we use daily is essential for the success of this role (wood, metal, fabrics, foam, plastics, vinyl, glass, etc.) Sourcing, purchasing, and managing fabrication shop materials and supplies.
Primary Responsibilities:
- Ensure timely and cost-effective acquisition of materials.
- Negotiate pricing, contracts, and terms effectively.
- Develop and maintain professional relationships with suppliers.
- Research and source new vendors + products.
- Monitor inventory and ensure materials are available without overstocking.
- Track expenses and identify cost-saving opportunities.
- Analyze trends to make informed purchases.
- Maintain accurate records of purchases and contracts.
- Work closely with production, design, project managers, and accounts payable/receivable to understand needs and material requirements.
- Coordinate deliveries and pickups with the operations team.
- Source new and bespoke fabrication materials, sustainable solutions and alternative materials.
- Grow, organize, and maintain sample library
Requirements
- Over 3 years of professional work experience.
- Strong negotiation, analytical, and problem-solving skills.
- Excellent organizational and time management skills.
- Proficiency in Excel, Teams, Office 365, preferably PC + Mac.
- Self-motivated.
- Excellent communication skills, both written and verbal.
- Ability to work collaboratively across multiple departments.
- Strong knowledge of industrial fabrication materials, supplies, and production methods.
Essential qualities include a positive, helpful attitude, sound judgment, strong problem-solving skills, and the ability to remain calm and focused, even when things get busy.
