The Practice Manager is responsible for our psychotherapy practice's smooth and efficient operation. This role involves managing daily administrative tasks, supervising staff, maintaining financial records, and ensuring the office complies with all relevant healthcare regulations. Working closely with the Practice Owner/Clinical Director, the Practice Manager will help develop and implement systems that enhance office efficiency and patient satisfaction.
Key Responsibilities:
- Oversee daily office operations, including appointment scheduling, staff management, and the upkeep of office equipment and supplies.
- Manage financial records, including billing, collections, and the preparation of reports for the Practice Owner/Clinical Director.
- Ensure the office complies with all applicable laws and regulations, such as HIPAA and OSHA.
- Develop and implement policies and procedures to streamline operations and enhance the patient experience.
- Collaborate with healthcare providers and insurance companies to ensure seamless patient care.
- Act as a liaison between the practice and the community, representing the office at events and meetings.
- Provide administrative support to the Practice Owner/Clinical Director and clinical staff as needed.

- Healthcare Regulations Knowledge: Familiarity with healthcare laws and standards, including HIPAA and OSHA, to ensure compliance within the practice.
- Strong Communication & Interpersonal Skills: Ability to communicate effectively with patients, staff, and external healthcare providers, fostering positive relationships.
- Financial Management Proficiency: Experience with billing, collections, and financial reporting, providing critical financial insights to the Practice Owner/Clinical Director.
- Technical Proficiency: Strong skills in Microsoft Office, G-Suite, and practice management software.
- Leadership & Team Management: Proven ability to lead a team, collaborate with healthcare professionals, and coordinate with insurance companies for smooth patient care.
- Problem Solving & Decision Making: Ability to develop and implement procedures that improve office operations and patient satisfaction, while making informed decisions in the best interest of the practice.
- Adaptability & Flexibility: Capable of handling multiple tasks, adjusting to changing priorities, and managing unexpected situations.
