Requirements

Purpose of the position

Provide support for the daily activities that support the site, Sales, SHE and continuous improvement. The executive administrator independently provides support to Regional Commercial Sales Director, management, professionals, and operations staff.

Main Responsibilities

  • Support the Regional Sales Director (calendar mgmt., expense reports, travel, etc.)
  • Support of day to day running processes within site
  • Assist in the planning and coordination of employee functions (Sales meeting, company celebrations, etc.)
  • SRM-Purchase Order Requisitioner
  • Maintain and procure office equipment and safety/security protocol.
  • Coordinate onsite needs with support departments such as IT, Purchasing, Procurement, Sourcing, and HR.
  • Order and maintain stock levels of products/supplies of the site
  • Coordination of the ID badge and Proximity entry card program
  • Coordination of the onboarding of new employees
  • Manage outsourced contracted facilities services such as Kirko management
  • Knowledge management owner of paper and electronics per document control policy for Sales and Marketing
  • Maintain contractor safety database
  • Makes sure certificates of insurance are up-to-date, files and enters into database the new certificate of insurance information.
  • Create purchasing requisitions for the entire site
  • Support vendors for payment
  • Create travel plans for site
  • Company car coordinator for site
  • Office equipment coordinator
  • Onsite logistics coordinator, ordering business cards
  • Coordinate mail and Fed-Ex shipments
  • Using the P-card within the boundaries set in the credit card policy
  • Timely delivering of the approved credit card statement with the original invoices to Accounts Payable

SHE duties and Responsibilities

  • Display and promote positive safety behaviors at all times use proper personal protective equipment, appropriate safety tools, equipment and procedures to ensure that self and others go home safe each day; that area and equipment operate at the highest safety levels, that all people in the area (lab techs, visitors, contractors, etc.) comply with safety directives and keep the area neat and clean.
  • Act in such a way that safety awareness & accident prevention are considered in performing all tasks.
  • Show leadership by working to SHE standards and encouraging colleagues to work to the same standards. Ability to point out deficient safety behavior to colleagues.
  • Ensure Awareness of and follow all Life Saving Rules

 

Information Security

Comply with all information Security policies and procedures. Behave according to the Code of Business Conduct for Information Security, including but not limited to “clear desk” policy, locking computers when not in use and logging off of networks and powering off computers at the close of business. Attend scheduled training through OneHR learning or presentations on information security related topics as scheduled by management.

 

Special Projects or Assignments

Perform all other duties as requested by management.

  • Role is onsite 5 days a week in Troy, MI
  • Strong verbal and written communication skills

  • Excellent organization, multi-tasking, and prioritization of skills
  • Previous experience in related position
  • Able to interface with all levels of management
  • Able to make decisions when necessary
  • Strong interpersonal skills to interact with diverse workforce
  • High dependability with a strong work ethic, and a commitment to deadlines
