1. WHO WE ARE AND WHO IS RESPONSIBLE FOR YOUR DATA
Depending on where you are located, your “data controller” (or equivalent concept under applicable law) is:

Technology provider. The JobHire.AI software and underlying technology are developed and owned by the Non‑US Seller and are licensed to the US Seller for distribution and sublicensing in the United States. When you use the Services, your Personal Information may be processed by the applicable Seller and by its service providers (including the Non‑US Seller as a technology provider for U.S. users) consistent with this Privacy Policy.
2. DEFINITIONS
“Personal Information” (or “personal data”) means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked (directly or indirectly) with you. “Sensitive Personal Information” has the meaning given under applicable law (e.g., CPRA).
3. PUBLIC PROFILES
By default, resumes and profiles you upload are private and not publicly visible. We will only publish your resume/profile if you explicitly opt in (for example, by enabling a “Public Profile” setting). You can turn this off at any time, and we will remove your resume/profile from public access. We will also request de‑indexing from major search engines, but search engines control when (and whether) they remove cached results.
4. INFORMATION WE COLLECT
4.1 Information you provide directly
We may collect Personal Information you provide, such as:
- Identifiers and contact information: name, email address, phone number, mailing address, account identifiers.
- Professional/employment information: resume content (work history, education, skills, certifications), portfolio links, cover letters, job preferences, job search criteria.
- Application activity: jobs saved/applied to, application status, employer communications you receive via connected platforms, and settings you configure (e.g., automation preferences).
- Billing information: subscription tier, invoices/receipts, payment status. Payment card data is typically processed by our payment processors and not stored by us, except for limited metadata needed for billing and fraud prevention.
- Support communications: messages you send to support, feedback, and survey responses.
- Optional verification information: if we need to verify identity or prevent fraud, we may request limited verification information (which may include government‑issued ID in certain circumstances).
4.2 Information collected automatically
When you use the Services, we may collect:
- Device and usage data: IP address, device identifiers, browser type, operating system, log files, timestamps, pages/screens viewed, clicks, and feature usage.
- Approximate location: inferred from IP address. If you enable location features in the app, we may collect more precise location data to support those features.
- Cookies and similar technologies: see Section 8.
4.3 Information from third parties and integrations (when you connect them)
If you connect third‑party job boards, recruiting tools, parsers, or professional networks (e.g., LinkedIn) or authorize us to import data, we may collect information from those services according to your instructions and the permissions you grant. We may also collect publicly available professional information if you ask us to enrich your profile from public sources.
5. HOW WE USE YOUR INFORMATION
We use Personal Information for the following purposes:
- Provide and operate the Services, including account creation, authentication, resume processing/analysis, job matching, application workflows, and tracking.
- Generate content you request, such as tailored cover letters or optimized resume drafts.
- Enable automated job applications and related features according to your settings and instructions.
- Customer support, troubleshooting, and responding to your requests.
- Billing, payments, refunds, fraud prevention, and enforcement of our terms.
- Security: monitoring, preventing, and detecting security incidents and abuse.
- Analytics and product improvement: measuring usage, improving features, and developing new functionality.
- Communications: service messages, product updates, and — where permitted by law and based on your choices — marketing communications.
- Compliance and legal: meeting legal obligations, responding to lawful requests, and exercising or defending legal claims.
- Licensing/reporting (de‑identified aggregate only): where necessary, we may share de‑identified aggregated metrics with our licensors/technology providers and partners for licensing, accounting, and revenue reporting obligations.
AI/ML and model improvement. We use AI and machine learning in providing and improving the Services. As part of providing the Services, we process your inputs and outputs. Where permitted by applicable law, we may use inputs/outputs to train and improve our models and systems. When feasible and appropriate, we use de‑identified or aggregated data for these purposes. You may be able to limit certain uses by adjusting in‑product settings or by contacting us (see Section 13).
No materially different purposes without notice/consent. We will not use your Personal Information for a purpose that is materially different from what is disclosed at collection without notice and, where required, your consent.
6. HOW WE DISCLOSE YOUR INFORMATION
We may disclose Personal Information to:
- Service providers and contractors who help us operate the Services (hosting, analytics, customer support tools, payment processing, security). They are bound by contractual obligations to use Personal Information only for providing services to us and to protect it.
- Integrated job platforms (“Job Providers”) to submit applications on your direction or as configured in your settings. This can include sending your resume, cover letter, and related application data to employers or job platforms you choose.
- Business partners for integrations you request or consent to.
- Professional advisors, regulators, and authorities when required for compliance, safety, or legal process.
- Corporate transactions: successors in connection with a merger, acquisition, or sale of assets (with notice where required).
De‑identified/aggregated data. We may disclose de‑identified or aggregated data that does not reasonably identify you. We contractually prohibit recipients from attempting to re‑identify such data where required by law.
7. AUTOMATED DECISION‑MAKING AND CONTROLS
Our Services may use automated decision‑making to provide features such as resume parsing, job matching, application scoring, and auto‑submission workflows (when enabled). You control many of these features through your account settings (e.g., thresholds, preferences, and automation toggles). If you disagree with an automated decision that produces legal or similarly significant effects, you may contact
support@jobhire.ai to request review and to contest the decision, where such rights apply.
8. COOKIES AND SIMILAR TECHNOLOGIES
We use cookies, SDKs, and similar technologies to:
- remember preferences and keep you signed in;
- enable core site/app functionality;
- understand and improve performance and user experience;
- measure campaign performance and communications, where permitted.
You can control cookies through your browser settings. Disabling cookies may affect the functionality of the Services.
9. DATA SECURITY
We use administrative, technical, and physical safeguards designed to protect Personal Information against unauthorized access, loss, misuse, alteration, or disclosure. No system is 100% secure, and we cannot guarantee absolute security.
Incident response. In the event of a data breach involving Personal Information, we will provide notices without unreasonable delay and in accordance with applicable breach‑notification laws and contractual obligations with service providers.
10. DATA STORAGE, INTERNATIONAL TRANSFERS, AND LOCALIZATION
Your Personal Information may be processed and stored in the United States and other countries where we or our service providers operate, including Cyprus and jurisdictions where cloud infrastructure is located. When we transfer Personal Information internationally, we use appropriate safeguards required by applicable law (for example, contractual protections and, where applicable, standard contractual clauses).
11. DATA RETENTION
We retain Personal Information only for as long as necessary to provide the Services, meet legal obligations, resolve disputes, enforce our agreements, and protect our legitimate interests. Retention periods may vary based on the type of data and legal requirements. Examples:
- Account and profile data: retained while your account is active and for a reasonable period thereafter to comply with legal obligations and handle disputes.
- Application records and logs: retained to provide history, troubleshooting, security, and analytics, then deleted or anonymized.
- Billing and transaction records: retained as required for accounting/tax compliance (often up to 7 years, depending on jurisdiction).
- Verification documents (if collected): retained only as long as needed for verification and fraud prevention, then deleted unless required by law.
After the retention period, data is securely deleted or anonymized.
12. CHILDREN'S PRIVACY
Our Services are intended for individuals aged 18 and older. We do not knowingly collect Personal Information from children under 18. If you believe a child has provided Personal Information to us, please contact
support@jobhire.ai and we will take appropriate steps to delete it.
13. YOUR RIGHTS AND CHOICES
13.1 Marketing preferences
You can opt out of marketing emails by using the unsubscribe link in the email or by contacting
support@jobhire.ai. Service‑related messages (e.g., billing notices) may still be sent.
13.2 U.S. state privacy rights (where applicable)
If you are a resident of certain U.S. states (including California, Virginia, Colorado, Utah, and Connecticut), you may have rights such as:
- Right to know/access;
- Right to correct (where applicable);
- Right to delete (subject to exceptions);
- Right to data portability;
- Right to opt out of the sale/sharing of personal information, targeted advertising, and certain profiling; and
- Right to limit use/disclosure of Sensitive Personal Information (where applicable).
We do not “sell” Personal Information as that term is defined under the CCPA/CPRA. If we engage in “sharing” for cross‑context behavioral advertising, we will provide appropriate opt‑out mechanisms as required by law.

13.3 GDPR/EEA/UK rights (where applicable)
If you are in the European Economic Area or the United Kingdom, you may have rights to:

- object to or restrict certain processing;
- receive a copy of your data (data portability);
- lodge a complaint with a supervisory authority.
Legal bases (GDPR). We process personal data based on one or more legal bases, including: performance of a contract (providing the Services), legitimate interests (security, improvement, fraud prevention), consent (where required), and compliance with legal obligations.
14. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy from time to time. We will post updates with a revised “Last Updated” date. If changes are material, we will provide additional notice (for example, via email or an in‑product notice) where required by law.
