The Operations Manager plays a pivotal role in overseeing the daily operations of the Office, which encompasses a variety of tasks such as resource management, contract oversight, and support for service execution, including budget tracking, timesheet reviews, and invoice approvals. The Operations Manager will also assist the Director in driving business development, fostering client relationships, enhancing employee engagement, and spearheading leadership initiatives. Furthermore, this role may require the Operations Manager to serve as a part-time Billable Resource, contributing to the Office’s financial targets and objectives as needed.

 

Essential Duties and Responsibilities:

  • Provide quality compliance services to clients and develop new relationships.
  • Manage billable resource assignments, planning 4 to 6 weeks ahead.
  • Maintain confidentiality and update SOW contracts as necessary.
  • Ensure timely review and approval of employee time and expenses.
  • Monitor project budgets and manage extension approvals to prevent overruns.
  • Provide technical support to field consultants when needed.
  • Assist in sourcing and winning new business through RFIs and RFPs.
  • Support resource attraction and retention through hiring strategies and mentoring.
  • Collaborate with Accounts Payables to reconcile project budgets.
  • Utilize Harvest for time tracking and invoicing management.
  • Use Salesforce to monitor resources, assignments, and contract expirations.
  • Prepare summary reports on projects for the Office Director.
  • Develop project extensions through Statements of Work.
  • Ensure customer success and manage issue escalation as required.

 

 

Requirements

Requirements:

BA/BS in Engineering, Science, or a related technical field, or equivalent experience.

5+ years in a regulated manufacturing environment in biotechnology, pharmaceuticals, or medical devices.

3+ years of staff management experience.

Highly proficient in business applications.
