As a rapidly growing company with a small, dynamic team, we are looking for a dedicated Executive Assistant to support our CEO, Paul Bradshaw, in achieving our ambitious goals.
Position Overview:
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive support to our CEO. The ideal candidate will be a strategic thinker with exceptional communication skills, capable of operating independently and managing a wide range of tasks with minimal supervision. In our small but growing team, everyone wears multiple hats, and this role will also support many HR-related tasks and provide assistance to other C-suite executives.
Requirements
Key Responsibilities:
- Administrative Support: Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements. Ensure all engagements are well-prepared and timely.
- Communication: Draft, review, and send communications on behalf of the CEO. Handle incoming correspondence and respond appropriately.
- Project Management: Assist in the planning and execution of special projects. Track progress and ensure deadlines are met.
- Document Management: Organize and maintain important documents, files, and records. Prepare reports, presentations, and other materials as needed.
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings.
- Confidentiality: Handle sensitive information with the utmost discretion and integrity.
- Stakeholder Engagement: Liaise with internal and external stakeholders, including board members, investors, and global partners.
- HR Support: Assist with HR-related tasks, including onboarding, employee records management, and benefits administration.
- Executive Support: Provide additional support to other C-suite executives as needed, ensuring seamless coordination and communication within the executive team.
Qualifications:
- Experience: Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in a fast-paced, high-growth environment.
- Education: Bachelor’s degree or equivalent experience.
- Skills:
- Exceptional organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other productivity tools.
- Ability to work independently and make sound decisions.
