Join City Wide Facility Solutions as an Administrative Assistant!
We are seeking a dedicated Administrative Assistant to provide exceptional administrative sales support across various departments within the Sales Division. Success in this role requires the ability to multitask effectively in a dynamic environment while managing competing priorities with precision.
Key Responsibilities:
- Updating, creating, and publishing accurate and timely reports for Local Sales and National Business Development.
- Creating, updating and delivering presentations for Local Sales and National Business Developments.
- Assisting with NBD quoting administrative duties, to include gathering information on policies, Work Comp, workforce demographics and other info.
- Managing email correspondence with franchisees, answering questions, scheduling meetings as requested.
- Collaborate with other departments to gather information for various projects.
- Manage Asana, our work management platform, for all assigned projects.
- Other duties as assigned.
Requirements
- 2+ years experience as an Administrative Assistant, Sales Assistance, or similar role.
- Understanding of a sales process and lifecycle of a sale.
- Maintain the highest degree of confidentiality and professional discretion.
- Bachelor's Degree preferred.
- Strong Attention to Detail: Ensures reports and presentations are accurate and professional.
- Exceptional Communication Skills: Demonstrates clear, polite, and professional email etiquette.
- Highly Organized: Capable of managing multiple tasks and deadlines efficiently.
- Proficient in Technology: Skilled in using Microsoft Office Suite (Excel, Word, PowerPoint), Asana (work management platform), CRM systems (e.g. Dynamics, Salesforce), and other relevant tools.
- Team-Oriented: Works collaboratively with sales teams, franchisees, and other departments to meet goals.
- Self-Motivated: Takes initiative and completes tasks with minimal supervision.
- Problem Solver: Identifies issues proactively and provides practical solutions.
- Adaptable: Comfortable collaborating across departments and managing diverse project requirements, with the flexibility to take on additional responsibilities as needed.
- Progress-Focused: Effectively utilizes Asana to track and communicate updates on departmental progress.
