Job Summary:
We are looking for a dynamic, administrative assistant to join our team supporting Real Estate Sales Professionals at our Naperville office at 836 W. 75th Street, Naperville, IL 60565.
This is a full-time, on-site position with expected hours M-F 8:30am-5pm (not a remote position).
Essential Duties & Responsibilities:
- Maintain paperless files with dot loop for all transactions through close.
- Obtain missing information as required and follow through with all parties
- Compile packets, recruiting, listing, buyer and rental, and maintain online file flow and marketing materials
- Answer phones.
- Open and distribute courier items.
- Distribute and prepare incoming and outgoing mail.
- General office support functions including greeting customers and maintaining office appearance, opening and closing.
- Pull reports as directed by sales manager, staff and agents
- Process and monitor marketing agreements from inception to close.
- Process buyer rep agreements.
- Data entry.
- IT/Tech support
- Responsible for office’s social media presence
Requirements:
- Real estate knowledge is a plus
- Strong written and verbal communication skills
- Ability to multi-task & prioritize
- Strong computer skills - including Google platform and Microsoft Office
- Social media savvy (FB, Twitter, Instagram, Pinterest, etc.)
- Responsible for Office’s Social media presence
- Assist Agents as needed with social media questions
- Attention to detail
- Ability to work independently and with a team
- Professional appearance
- Proactive
Skills & Experience:
- High school diploma or equivalent required.
- Previous real estate experience preferred
- Administrative assistant experience preferred.
