Document Crunch is seeking a Part-time (20-30 hours a week) Executive Assistant to join our amazing, tight-knit team. You’ll be supporting our CEO to ensure he is staying organized and making best use of his time growing and scaling the business. In this position, you will be responsible for managing day-to-day administrative tasks, efficient calendar management and travel and event coordination. This role requires exceptional attention to detail, the ability to manage multiple priorities, and a high level of discretion. Key Responsibilities:
- Calendar Management: Maintain and manage the executives' calendars, including scheduling meetings, appointments, and conferences and proactively identifying and rectifying scheduling conflicts.
- Email Communication: Manage and prioritize email communications, ensuring timely responses and flagging important messages that require immediate attention.
- Flight, transportation & accomodations Arrangements: Coordinate all aspects of travel for executives, managers and individual contributors. This includes booking flights and hotels, arranging ground transportation, and ensuring travel itineraries are well-organized and communicated.
- Event Management: Plan, coordinate and assist with various events, team activities, get-togethers and annual all company events.
- Meeting Coordination: Organize, schedule, and ensure that all logistics are handled for internal and external meetings.
- Reservations: Make reservations for business lunches, dinners, and other corporate events as required.
- Board and Leadership Communication: Serve as a liaison between the executives and the board of directors as well as other leadership team members; prepare and distribute communications as needed.
- Presentation Preparation: Assist in the preparation of presentations and reports for internal and external meetings; ensure that all materials are prepared in a timely and professional manner.
- Document Management: Organize and maintain files and documents to ensure everything is readily accessible and secure.
- Credit Card Statement Review: Regularly review and reconcile credit card statements to ensure accuracy and proper expense reporting.
- Confidentiality: Maintain the highest level of confidentiality with sensitive information and communications.
Requirements
- Proven experience as an Executive Assistant or similar administrative role.
- Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficient in MS Office Suite and familiar with other scheduling and communication tools.
- High level of discretion and professional judgment.
- Ability to work independently and as part of a team.
- We are currently hiring in the Atlanta metro area. While we are a remote first workplace, we want an executive assistant local to our CEO and available for periodic in person company meetings, get togethers, and trainings.
Preferred Qualifications:
- Bachelor’s degree in Business Administration or a related field.
- Experience in handling confidential information and complex scheduling.
