About You: You are an experienced office manager, ideally with a background in law firm operations. You excel at HR functions, bookkeeping, and IT troubleshooting, maintaining a smooth and efficient office. Your proactive approach and organizational skills foster a supportive and productive workplace, ensuring both client and team satisfaction. You continuously implement best practices for greater efficiency and develop firm-wide savings initiatives.
Responsibilities:
- Employee Management: Oversee benefits, hiring, termination, training, coaching, and onboarding processes.
- Insurance & Compliance: Manage group health, CGL, WC, legal malpractice insurance, and corporate taxes.
- Event Coordination: Organize firm marketing/networking events and holiday/employee events.
- Administrative Tasks: Handle PTO, time-off issues, and phone management (training/coaching).
- Financial Management: Coordinate payroll, perform daily banking tasks, manage bookkeeping in QuickBooks, and handle quarterly bonuses.
- IT & Operations: Troubleshoot IT issues, manage case management software and contract renewals, oversee building operations, and liaise with outside vendors.
Requirements
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficient in QuickBooks
- Experience with IT troubleshooting and network management
- Advanced skills in Microsoft Excel, Word, PowerPoint, and Microsoft 365
- Working knowledge of Filevine is a plus
- Ability to manage sensitive and confidential information
Qualifications:
- Relevant education and experience required
- Bachelor's Degree preferred; commensurate experience considered
- Proven experience in office management, human resources, or related management roles
- SHRM certification and/or ALA membership is a plus
- Minimum 5 years' experience in a similar role, with law firm experience a strong plus
