Description
We are seeking an experienced and efficient executive assistant to join our Sales & Marketing Team. As an executive assistant, you will play a crucial role in supporting our team and ensuring the smooth operation of our day-to-day activities. The ideal candidate will possess strong organizational and communication skills, be detail-oriented, and have the ability to prioritize and juggle multiple tasks.
Responsibilities
- Provide comprehensive support to Vice President, Residential Sales & Marketing, including managing calendars, scheduling meetings, and making travel arrangements.
- Handle incoming and outgoing correspondence, prioritize emails, and draft correspondence on behalf of executives.
- Prepare and organize meeting materials, presentations, and reports.
- Coordinate and manage logistics for meetings, conferences, and events, including booking venues and arranging catering.
- Assist with the preparation and follow-up of internal and external communications.
- Assist with financial tasks, such as processing invoices, expense reports and maintaining budget records.
- Act as a liaison between executives and various departments to ensure effective communication and collaboration.
- Perform data entry and file management, ensuring that documents are accurately filed and easily accessible.
- Proactively identify opportunities for process improvement and implement efficient systems and procedures.
Requirements
- Bachelor's degree in business administration, marketing, or a related field.
- Proven experience as an executive assistant or similar administrative role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Ability to handle sensitive and confidential information with discretion.
- Excellent problem-solving and decision-making abilities.
- Ability to prioritize and manage multiple tasks and deadlines.
- Strong attention to detail and accuracy.
- Proactive and self-motivated with a flexible and adaptable approach.
