Administrative Assistant (Full Time)

Location: Tallahassee, FL (in-office)

Schedule: Monday - Thursday 9:00am - 5:00pm; Friday 9:00am – 4:00pm

Compensation: $36,000 - $40,000 annual salary plus benefits package (see below for details)

Summary of Qualifications:

  • High school degree or equivalent
  • 2+ years of professional administrative experience OR Bachelor’s degree in a relevant field
  • 1+ years of professional experience with the Microsoft Office suite of products
  • Ability to commute to our Tallahassee office Monday - Friday

About Us: FUBA Workers’ Comp is a Tallahassee-based managing general agent for workers’ compensation insurance. Since 1989, we’ve been providing exemplary customer service and industry expertise to thousands of small businesses in Florida. Our family-friendly office of about 10 employees does a good job of maintaining a fairly relaxed atmosphere while still producing stellar results. About this position: We are looking to strengthen our operations by adding an Administrative Assistant to the team. This person will perform a variety of customer service and administrative tasks such as routing calls to the proper destination, maintaining and updating information for our audit and policy services departments, taking EFT payments from policyholders, and monitoring company email accounts. We are open to training the right person, but there are a few non-negotiable skills we are looking for.

The ideal candidate is someone who:

Essential Tasks of the Administrative Assistant:

General

  • Answer phones and route calls to proper destination using coverage chart
  • Monitor company email accounts

Policy Services

  • Enter new policies into policy management system
  • Process policy request changes
  • Process and post payments from policyholders and agents
  • Conduct monthly premium credit reach-out and maintenance
  • Review underwriting files for compliance
  • Mail monthly dividend checks to agents and policyholders
  • Conduct Officer Exemption maintenance

Audit

  • Call policyholders with past due audit balance (with oversight)
  • Email final audit invoices to agents
  • Print and mail audit auto-endorsements
  • Email audit worksheets to agents and policyholders
  • Check temp folder, log, and print new audits
  • Save certified letters to audit folder

Underwriting

  • Monitor underwriting email account
  • Enter new business submissions into the company system.
  • Enter new policies into company system

Requirements

We are looking for someone who:

  • Has 2+ years' experience beyond school OR holds a relevant bachelor’s degree
  • Has 1+ years' professional experience with the Microsoft Office suite of products (particularly Word, Excel, and Outlook)
  • Is computer-savvy and capable of picking up new programs quickly
  • Enjoys both collaborating with others and working autonomously depending on the day’s needs
  • Can commute to our Tallahassee-based office
  • Can work 9:00am - 5:00pm Monday - Thursday, and 9:00am – 4:00pm on Fridays
