Full Job Description

Assists the operations in all aspects of onboarding the new hires, support questions, and Scheduling appointments, including reporting, training, and maintaining electronic records—clerical Duties such as utilizing advanced spreadsheets. All accounts payable reports and maintains all accounts payable files. Gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.


Organizes and maintains file system and files correspondence and other documents. Update personnel files in coordination with the hub manager. Create Excel spreadsheet, review all invoice documents, employee hours for pay, check for error duplicates, and submit employee timesheets and invoice documents to the payroll department for payment for approval of payment notices to improve overall account payable files. Reviews all invoices and maintains accurate billing files for customers. Generates final billing monthly for customers by keeping correct records. Maintain a positive and proactive relationship with managers, supervisors, employees, etc. Liaise with other departments/business units to ensure current compliance and documents and postings. Tracks and maintains accurate records of warehouse supplies inventory and replenishes accordingly.


Answers questions about the organization and provides callers with addresses, directions, and other information. Locates and attaches proper files to correspondence to be answered by an employer. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Monitors visitor access. Updates appointment calendars. Receives, sorts, and routes mail, and orders. Obtains and maintains supplies for office and operations supply room. Prepares outgoing mail and correspondence, including e-mail and faxes to copy, uses fax machines, and assists employees with the time clock. Review payments for services and products. Perform other necessary clerical duties, such as filing, photocopying, and collating. Arrange and coordinate travel schedules and reservations. Coordinates and organizes meetings, prepares agendas, reserves, and prepares facilities.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED) and 2 to 3 years related experience and/or training.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to question: from groups of managers, clients, customers, and the public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
