Full Job Description

Responsibilities

  • Responsible for data entry including contacts and firms.
  • Sets up and maintains project records in Deltek from pursuit stages to awarded.
  • Sets up and maintains project specific network and outlook folders.
  • Prepares monthly customer billing invoices and assembles client project status reports, pay applications, and lien waivers as needed.
  • Supports Project Managers with forecasting input and percent complete updates, then review for accuracy.
  • Provides and helps to review project reports to ensure the team stays on time and on budget.
  • Reviews and analyzes project related data to ensure accuracy and timeliness.
  • Acts as subject matter expert for Deltek and Elevia products.
  • Holds Project Manager training sessions for Vantagepoint and Elevia Tools.
  • Deltek Vantagepoint resource for Project Managers and staff within their office.
  • More advanced use of sandbox for testing and system integrity.
  • Performs project close out process.
  • Performs receptionist duties for office.
  • Performs office manager duties as needed.
  • Provide admin assistance for recruiting and onboarding.
  • Record daily bank deposits in our accounting system.
  • Process credit card payments from clients as backup to AR Specialist.
  • Helps to put process in place to ensure the project life cycle is efficient and effective.
  • May perform other duties as requested, directed, or assigned.

Requirements

Education

  • Associate’s or Bachelors degree in Business Administration, Accounting or Finance preferred or equivalent work experience.

Experience/ Certifications

  •  Typically, 3+ years of progressive experience in project administration or project accounting. Background in an architectural, consulting engineering, interior design, or professional services firm is preferred.

Qualification

  • Highly organized and detail oriented.
  • Deltek Vision/Vantagepoint experience preferred but not required.
  • Proficient in preparing various reports, balancing, and reconciling data, and identifying discrepancies and determining proper courses of action.
  • Exercises good judgment, demonstrates sound decision-making skills, and maintains confidentiality.
  • Ability to work both in team and independent situations. Flexible and adaptable to changing situations in an evolving environment. 
  • Effective interpersonal and communication skills. Responsive to client and employees’ inquiries and ability to resolve problems. 
  • Strong computer skills, including proficiency in various accounting software systems and Microsoft Office.
  • Performs in a disciplined and thoughtful manner within a team environment.
  • Conducts oneself consistently in a positive and professional manner.
  • Ability to multitask and establish priorities.
  • Ability to maintain a high-performance level in a fast-paced, accountable environment.

The estimated starting salary pay range for this role is $65,000-$75,000

Compensation

  • This role is eligible for “pay for performance” bonuses beyond base pay.
