Full Job Description
AOSense Inc., a top developer and manufacturer of cutting-edge cold atom optic devices, is seeking a part-time Office Coordinator. The primary tasks include assisting executive leadership in scheduling meetings and appointments, and welcoming visitors. In addition, the Office Coordinator will perform general office clerical duties and scheduling with carriers. This non-exempt position requires five hours of work per day, Monday to Friday, starting from 9:30 am. The Office Coordinator will report to the Director of Finance.
Responsibilities
- Assist executive leadership with scheduling appointments.
- Greet visitors, maintain AOSense visitor records and arrange escorts for them within the facility. AOSense is a secured facility.
- Coordinate visitors and management meetings, schedules, room setups, procure meals, clean ups.
- Coordinate company social events.
- Occasional short local travel to coordinate meetings, supplies and social events.
- Light telephone answering.
- Incoming and outgoing postal mail.
- Incoming and outgoing package deliveries requiring lifting up to 20 pounds per item, accurately maintain related records, ensure delivery/pickup by appropriate people; scheduling with carriers.
- Maintain facility public areas such as reception areas, conference rooms, printer areas, break rooms, rest rooms (an outside company attends to trash and restrooms cleaning Monday through Friday evenings).
- Maintain office supplies and facility supplies requiring lifting up to 20 pounds per item, research products and pricing comparisons.
- Maintain accurate records in MS Excel, Outlook and Word.
Requirements
- High school diploma or GED equivalent required; associate's or bachelor's degree preferred
- Minimum of 2 years of experience in an administrative or office coordination role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
- Exceptional attention to detail and accuracy
- Strong problem-solving and decision-making abilities
- Proactive and able to work independently with minimal supervision
- Professional and friendly demeanor, with excellent customer service skills
- Ability to maintain confidentiality and handle sensitive information with discretion
- Experience working in a team-oriented environment
- Knowledge of office equipment and procedures
