ODK Media, Inc. is a media group headquartered in Fullerton, CA, United States that provides access to premium international content through its owned and operated streaming platforms, including OnDemandKorea, OnDemandChina, and OnDemandViet. It also distributes content to global streaming services, cable operators, and movie theaters, serving as the Asian media hub for AAPI communities across the country.

 

We are currently looking for an Administrative Assistant to join our growing team, who will be responsible for coordinating the daily administrative operations and support to the HR team to ensure smooth functioning of various processes within the HR/Admin department. This will include support & involvement in office & vendor coordination, assets management, events planning, recruitment, onboarding, personnel recordkeeping, payroll, benefits, & offboarding. 

 

ROLES & RESPONSIBILITIES

  • Provide front-desk support by answering calls, greeting visitors, and managing mail deliveries
  • Responsible for office opening & closing procedures
  • Answer to general admin requests and inquiries made by employees and vendors
  • Coordinate business travel arrangements for leadership team
  • Supports & streamlines efficiency of team meetings by providing meeting minutes and tracking action items
  • Manage inventory of office stock and supplies for planning & ordering of materials
  • Oversee daily lunch coordination & weekly vendor management
  • Manage vendor communication, coordination, & invoicing
  • Work with property management and external vendors to address any facilities concerns, parking, and leasing matters
  • Plan and coordinate office events and other employee celebrations activities
  • Creates monthly Newsletter and helps draft company-wide announcements
  • Assist with uploading executed legal contracts and agreements to filing system
  • Provides general recruiting assistance with job postings, interview scheduling, background checks, and offer generation
  • Administers onboarding by processing new hire paperwork, orientation, I-9 verification, and setting up system access to various HR/IT applications
  • Maintain personnel filing & recordkeeping in HRIS, process employee information & job changes, ensure system data and company organizational chart is updated, and verify data is integrating properly with other HR applications
  • Maintain and update HR forms & documentation, digital resources, and tracker logs to ensure all information and assets are accurate and up to date
  • Assist with responding to unemployment claims and tax notices from state and federal agencies
  • Provides general offboarding support by prepping exit packages and sending exit information
  • Assists with other HR related projects as needed

POSITION REQUIREMENTS

●         Minimum of two (2) years of experience working in office administration

●         Proven experience in general office administration support required

●         Bilingual in Korean (Native fluency highly preferred)

●         Knowledge of HR principles and laws/regulations in CA highly desirable

●         Interest in basic design and graphics support highly desirable

●         Proficiency in Google Workspace Applications is highly desirable

●         Experience with BambooHR system and Workable ATS highly desirable

●         Familiarity with applications like Canva, Typeform, Mailchimp, Confluence, and Jira highly desirable

●         Bachelor’s Degree preferred in Human Resources Management or related field of study

●         Excellent organizational skills and strong attention to detail

●         Excellent verbal, written, interpersonal, and customer service communication

●         Ability to function well in a dynamic and fast-paced environment

●         Must be able to be fully onsite and come to the office Monday through Thursday and some Fridays

ODK Media, Inc. offers a competitive salary and benefits package.  The reasonable estimated salary for this role ranges from ($24/hr USD to $26/hr USD).  Actual compensation is based upon factors such as the candidate's skills, qualifications, and experience.
