Full Job Description

Tablet Command, a leading provider of incident management software for the fire service industry, is seeking an Administrative Assistant to join our dynamic team and provide support the the company's CEO and Co-Founder.

Key Responsibilities

Executive Support:

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and arranging travel.
  • Prepare and edit correspondence, communications, presentations, and other documents.

Office Management:

  • Oversee general office operations to ensure efficiency and productivity.
  • Handle incoming and outgoing mail, including making bank deposits.
  • Maintain office supplies and equipment.

Meeting Coordination:

  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in preparing materials for presentations and reports.

Communication:

  • Act as a point of contact between the CEO and internal/external stakeholders.
  • Handle incoming and outgoing communications on behalf of the CEO.

Confidentiality:

  • Maintain the highest level of confidentiality concerning company matters.
  • Handle sensitive information with discretion.

Special Projects:

  • Assist the CEO with special projects and initiatives as needed.
  • Conduct research and gather information to support decision-making.

Requirements

Education and Experience:

Education:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Equivalent work experience may be considered.

Experience:

  • Minimum of 3-5 years of experience as an administrative assistant or in a related role, preferably in the tech or SaaS industry.
  • Experience supporting C-level executives is highly desirable.

Skills and Competencies:

Technical Proficiency:

  • Proficiency with Google Suite (Mail, Calendar, Doc, Sheets, Slides, etc).
  • Familiarity with project management.
  • Basic understanding of SaaS industry tools and platforms.

Communication Skills:

  • Excellent written and verbal communication skills.
  • Ability to draft professional correspondence and reports.

Organizational Skills:

  • Exceptional organizational and time management skills.
  • Ability to manage multiple tasks and projects with attention to detail and accuracy.

Interpersonal Skills:

  • Strong interpersonal skills with the ability to build relationships with stakeholders, including staff, board members, external partners, and clients.
