Position Summary

Our organization is seeking an organized, outgoing Office Administrative Professional for Administrative Assistant of Production. In this position you will provide support to loan production staff members internally and remotely. Which includes sales, processing department members and companywide. Staff and Management Teams in a high performing and corporate setting. The position handles a wide variety of responsibilities and tasks to ensure the office runs smoothly and facilitates timely communications. In addition, it requires the initiative to take on projects when workflow is limited.   

Essential Responsibilities

Support Loan Production Staff (90% of time):

  • Assist assigned staff with their clerical and organizational needs.
  • Pull  requested reports using various vendor websites such as: SAM, BCR, FEMA, LEXISNEXIS, SBA (for SBSS credit), PACER and more.
  • Draft derogatory explanations as needed based on information from the vendor report.
  • Order tax return transcripts from vendor and compare against tax returns.
  • Enter data into software systems.
  • Process Flood Determination requests for loan production staff.
  • Upload loan documents into document storage software Provides support on projects across Momentus Capital when requested

Provide Front Desk Backup Coverage (Remote/In-Person):

  • Primary backup for breaks/lunch coverage for the San Diego Front Desk Admin.
  • In-person coverage for planned and/or unplanned requested time off.
  • Answer all incoming calls using a multi-line phone system. Determine purpose of calls and forward calls to the appropriate personnel or department.
  • Maintain and check all general voicemail greetings and disseminate messages to staff members.
  • Assist on-site visitors, determine the nature of business and announce visitors to appropriate personnel.
  • Monitor visitor access and issue access badge, ensures badges are returned to front desk
  • Maintain Office Calendar(s) with conference bookings and more.
  • Unlock and lock all suite doors at 8:00 a.m. and 5:00 p.m.
  • Ensure presentable conditions are maintained at the front desk, conference rooms, supply rooms.
  • Other miscellaneous duties and projects as required by Management

Requirements

  • Minimum of 2 years of experience as an Office Administrative professional with proven ability managing a busy reception desk/office environment with multiple areas of responsibility. 
  • This position is hybrid with the requirement to come on-site during planned/unplanned absences of the primary front desk personnel or as business needs dictate.
  • Flexibility with hours between 8:00 am -5:00 p.m. and/or 8:30am-5:30 p.m.  based on business needs
  • Demonstrated experience answering and directing calls using a multi-line phone system. 
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Ability to be resourceful and proactive when issues arise. 
  • Demonstrated use of critical thinking and problem solving.
  • Experience working with multi-function printers, ability to scan and send documents as an email attachment and configure copy settings. 
  • Proficiency in office productivity suites such as MS Outlook, Word, Excel, and Google Workspace. 
  • High School Diploma

Benefits

The salary range for this position is $21.80/hr.- $25.00/hr. ($45,353- $52,003/year) and is eligible for an annual incentive/commission plan.

This role is remote/hybrid and is eligible for an annual incentive.
