Full Job Description
The Administrative Assistant to the President & CFO of Skywalker Holdings relieves the executive of administrative-type functions in order to increase the time an executive has available for executive-level responsibilities. May handle a wide variety of situations, administrative functions, and competing priorities for multiple company officers. Planning and coordination of heavy domestic and international travel schedules. Responsible for confidential and time-sensitive material. This position also provides finance support to Skywalker, affiliates, and subsidiaries through invoice management, tracking status, maintenance, record keeping, and organization.
Responsibilities
- Schedule routine internal meetings - coordinate sensitive calendar items re COB/GWL projects
- Draft outgoing correspondence for President & CFO including all approval correspondence to COB
- Liaise with both internal and external project managers on a wide range of real estate development projects managed by the President & CFO
- Arrange domestic & international travel. Schedule trip meetings & prepare itineraries. Updating mileage program information and, when necessary, passport/visas. Prepare and submit expense reports for domestic & international travel
- Answer phones for President’s line, Privacy Policy hotline for websites. Coordinates conference calls.
- Liaison for President on confidential GWL projects
- Interact w/ COB’s office, outside attorneys’ offices, architect/designers’ offices, and project management firms
- Support CFO in management of invoices for projects
- Coordinate transfer of project files & documents for signature
- Assist the Finance team under the direction of the CFO, especially AP and Payscan.
- Support in dissemination of related finance correspondence
- Participating in events committee focused on workplace culture and celebrations
- Support office regarding supplies, liaising with other departments, scheduling events as needed and other duties as assigned
- Special projects as needed -- At the President & CFO’s direction and as needed, take on special assignments including writing projects, research and resourcing, administration of private projects for stakeholders, especially COB
Requirements
Education / Experience:
- Bachelor’s degree
- 5 years experience in a similar role

- Excellent organizational and follow-through skills
- Excellent communication skills, written and verbal
- Ability to work well and prioritize in a fast-paced multi-project environment with a high level of detail and accuracy
- Demonstrated ability to partner with others and build relationships
- Must be customer service-focused, innovative, solution-oriented and efficient
- Excellent organizational and administrative skills
- High level of flexibility, ability to perform multiple tasks in a fast-paced environment
- Willingness to work overtime, later shifts, and weekends as needed
- Valid California driver's license with a clean driving record
Preferred Skills / Competencies:
- Highly organized, able to track multiple tasks simultaneously, communicate effectively.
- Experience with Excel and database management
Technical Skills:
- Must be proficient with Microsoft Office product suite, especially excel.
