Full Job Description
PRIMARY FUNCTION: Provides regular clerical and administrative support to the Chief Executive Office (CEO), Vice President of Advancement, or other administrative staff as necessary. Prepares correspondence, reports, electronic and hard files. Maintains donor database, schedule, calendar and office supplies. Set up and prepares meetings. Answers inquiries regarding donations or organization information.
RESPONSIBILITIES:
- Perform regular administrative duties, prepare correspondence and reports, as request by supervisor.
- Compose draft letters following established formats and proofread all materials for accuracy.
- Answer telephones in English/Spanish to provide general information, refer callers to other staff, or take messages as necessary.
- Maintain electronic and physical copy filing system; ensuring accuracy and easy accessibility.
- Monitor office supplies; order inventory as needed.
- Maintain cleanliness and organization of administrative office and conference room.
- Prepare for Executive Board, Full Board, committee, and other meetings as requested.
- Attend Executive Board, Full Board, and committee meetings to record notes.
- Assist the Vice President of Advancement with day-to-day logistics.
- Provide key support for coordination and organization of special events.
- Input donations into database; generate and process all thank you letters and donor correspondence.
- Generate monthly donor reports.
- Generate, update, and manage mailing lists; assemble and deliver bulk mailings to post office
- Retrieve printed materials & donated items as needed.

Requirements
- Associates Degree preferred.
- Two-years minimum of office/clerical experience.
- Bilingual in Spanish is preferred.
- Experience with CRM.
- Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Good written and verbal communication skills
- Strong interpersonal or customer relation skills
- Strong organizational and time management skills
- Strong attention to detail
- Able to maintain strict confidentiality
PHYSICAL REQUIREMENT/WORK ENVIRONMENT:
Work environment is a office setting. A majority of time is spend sitting for extended periods of time while utilizing a computer. Occasional lifting and bending to sort received packages.
