We are seeking a dedicated individual who thrives on focusing on specifics, ensuring accuracy, correctness, and thorough completion of tasks. The ideal candidate is a perfectionist who needs to have all the information before proceeding, follows processes meticulously, and works with precision. In this role, you'll support our events department, focusing on maintaining high-quality customer communication, utilizing your strong administrative skills, and delivering consistent, top-level customer service. Key Responsibilities:

On-site Events Duties:

  • Be present at events to offer on-site support, assist with registrations, and ensure everything runs smoothly.
  • Help with both setup and teardown, which includes arranging registration desks, venue decorations, logistics, and chair covers.
  • Oversee the registration process, facilitate check-ins, and resolve any issues alongside the events team.
  • Engage in physical tasks such as lifting boxes (up to 50 lbs.) and setting up event materials and decorations.
  • Maintain an inventory of office supplies and materials needed for event production.
  • Provide hands-on support for the CEO and Events Coordinator, including handling errands and pickups.

Administrative Duties:

  • Organize and manage files, storage solutions, and oversee shredding tasks.
  • Help prepare for seminars and update templates in Asana.
  • Dispatch reminder emails for upcoming events and registrations.
  • Generate AMP notifications to keep everyone informed about event deadlines.
  • Provide support for the Annual Awards gala, including calculations and gathering photos.
  • Procure medals, trophies, and other awards.
  • Maintain the master seating chart while overseeing table assignments.
  • Prepare and print vouchers for prize money, scholarships, and ticket labels.
  • Collaborate with the Marketing team to disseminate ADSS information.
  • Create detailed Event Page Information sheets for dedicated events.

Requirements

Essential Skills & Qualifications:

  • Experience as an Administrative Assistant supporting multiple managers
  • Proficient in Microsoft Office, particularly Excel; quick to master new technologies
  • Ability to stand for extended periods of up to 8 hours and lift items weighing up to 50 lbs
  • Open to working flexible hours, including evenings and weekends
  • Exceptional multi-tasking skills and adaptability in a dynamic environment
  • Outstanding verbal and written communication skills for effective interactions with vendors and clients

Desired Qualifications:

  • Relevant college coursework or a degree in Event Management, Business Administration, or a related field
  • Experience in event coordination or the hospitality industry
  • Familiarity with tools such as Microsoft Teams, Excel, and Asana for project management purposes
