Full Job Description

As a Real Estate Assistant at Colliers | Wisconsin and Inland Family of Companies, you will play a crucial role in supporting our Property Managers to ensure a superior experience for our commercial tenants. This position involves a diverse range of responsibilities including administrative tasks, lease administration duties, event coordination, and project support.

Key Responsibilities:

  • Accounts Payable and Vendor Management:
    • Code and process vendor invoices and accounts payable.
    • Maintain vendor and tenant Certificates of Insurance; update insurance tracking system in Angus.
    • Maintain vendor contact list and insurance information.
  • Tenant Support and Coordination:
    • Prepare tenant move-in packages and order tenant gifts as required.
    • Coordinate mockup and installation of directory strips, signage, and other property branding materials.
    • Assist in organizing annual tenant events.
  • Administrative and Operational Support:
    • Develop and maintain property calendar using Angus for tracking key dates.
    • Assist in preparing bid proposals, service contracts, and bid comparison analysis; track in Smartsheet.
    • Provide administrative support for building and tenant improvement projects.
  • Documentation and Reporting:
    • Create and maintain lease and property files electronically in Egnyte.
    • Assist in lease administration activities including abstracting leases and preparing reports.
  • Communication and Coordination:
    • Notify meeting participants of internal meetings, responsibilities, and changes in plans.
    • Attend client calls, update records, and take detailed notes as necessary.

Requirements

  • Minimum 2 years of experience in customer service, clerical, or administrative roles (commercial real estate experience preferred).
  • Proficiency in Microsoft Office suite, particularly Excel.
  • Highly organized with strong attention to detail and ability to meet deadlines.
  • Capable of managing multiple projects and shifting priorities in a fast-paced environment.
  • Ability to handle confidential information with integrity and discretion.

Helpful Skills:

  • Familiarity with property management and accounting software (e.g., Yardi, MRI, Kardin, Argus).
  • Knowledge of property facility management software (e.g., Angus Anywhere, Facility Dude, MRI Workspeed).
  • Experience with database and project management software (e.g., Smartsheet).
