The Seattle Foundation is looking for a driven and enthusiastic Accounts Payable Manager to take on a crucial role in ensuring the precise and prompt processing of accounts payable, grants payable, and associated reconciliations!

Position Highlights

  • Target Hiring Range: $82,000 - $90,00; Full Hiring Range: $67,608 - $108,172

Position Overview:

The Accounts Payable Manager position is responsible for the completion of accounting tasks and activities that lead to accurate and timely processing of accounts payable and grants payable and relevant reconciliations. Specific areas of responsibilities include: 

Key Responsibilities

  • Process, supervise, and review accounts payable (AP) and grants payable (GP) tasks and transactions, provide support and review during weekly workflows, and schedule and direct daily tasks and activities. 
  • Establish procedures and guidelines for AP and GP processes that support relevant policies, including appropriate internal controls and applicable regulations. Collaborate with Gifts & Grants Director on relevant cross-departmental procedures. 
  • In support of the above, collaborate with Assistant Controller and others to ensure system users and automated workflow assignments appropriately support internal control and processing procedures. 
  • Work with relevant staff to appropriately coordinate the maintenance of Vendor Master File, as facilitates the proper separation of duties. 
  • Create or collaborate on creation of necessary AP/GP reports in Solver, as supports processing and reconciliation requirements. 
  • Reconcile related general ledger accounts (Accounts Payable/Grants Payable/Accrued Expenses). 
  • Maintain and make available relevant AP forms, such as New Vendor Forms, ACH/Wire Payment Enrollment, W-9/W-8BEN, Payment Request Forms, and Employe Expense Reimbursement Forms. 
  • Maintain supplier contracts and drives standards on the organizational and naming structure of AP/GP files. 
  • Adhere to internal controls and ensure compliance with GAAP and FASB standards. 
  • Train internal departments and external partners on procedures for AP and GP processing. External partners include representatives of Fiscally Sponsored Projects and Supporting Organizations of Seattle Foundation. 
  • Ensure compliance with IRS 1099 requirements and, with Accounts Payable Specialist, oversee preparation of 1099s. 
  • Respond to requests for information and assistance or delegate requests to appropriate staff members. 
  • Laise with internal IT staff and external software developers to troubleshoot AP/GP technical issues. 
  • Supervise, develop and coach the Accounts Payable Specialist.
  • Assist with documentation preparation for external auditors. 
  • Ad-hoc reporting and research, as requested. 
  • Other duties as assigned. 

Requirements

  • 3+ years’ experience supervising Accounts Payable processes or team.
  • Demonstrated Nonprofit/fund accounting experience.
  • Experience with Solver, Microsoft Dynamics 365 Customer Engagement (CE), and/or Business Central (BC) is a plus.
  • Goal-oriented, pro-active self-starter with ability to work independently and approach challenges with a high degree of adaptability and creativity. 
  • Highly detailed-oriented with ability to review & verify accuracy of data including: all AP processing data, reviewing and producing 1099s, vendor transactions, AP reconciliations, expenses against contracts and data for audits. 
  • Experience with creating and maintaining forms, for example: AP forms (new vendor forms, ACH forms, employee reimbursement forms, payment request forms, etc.) and internal forms (void re-issue checklists, etc.).
  • Good communication and presentation skills, with the ability to present processes clearly and in an engaging and audience-relevant manner.
  • Good writing skills, with the ability to document workflows and step-by-step procedures. 
  • Problem-solver with an ability to identify bottlenecks/areas of improvement, along with an ability to implement solutions while maintaining a robust internal control environment.
  • Knowledge of accepted accounting and auditing practices and principles. 
  • Excellent interpersonal skills and personal maturity; demonstrated experience collaborating effectively and having an ability to engage and influence a wide range of stakeholders. 
  • Unwavering personal and professional integrity with ability to work with highly confidential information. 
  • Comfort and eagerness to learn various accounting and other software technologies.

The work is performed remotely, in an office setting, or a hybrid combination. All positions require the capability of working at a PC for extended periods. Team efforts with event support may require periods of physical activity involving standing, walking, and moderate lifting.
