First Division Consulting, Inc. (FirstDiv) is seeking a motivated and detail-oriented Proposal Coordinator to join our team. As a Proposal Coordinator, you will play a pivotal role in the end-to-end management of the proposal development process, ensuring high-quality, compliant, and compelling responses to Requests for Proposals (RFPs) and Requests for Information (RFIs) for Department of Defense (DoD) and other federal government contracts.
In this role, you will collaborate closely with various internal teams, including business development, technical experts, and project managers, to develop winning proposal strategies and submissions. You will be responsible for managing proposal schedules, ensuring deadlines are met, and overseeing the creation and review of proposal content. Additionally, you will interpret solicitation requirements, lead proposal reviews, and ensure all documents are delivered on time and in compliance with solicitation requirements.

Key Responsibilities:
- Lead the development of compliant and compelling proposals in response to DoD and federal government RFPs and RFIs.
- Coordinate the proposal process, including developing schedules, ensuring deadlines are met, and managing all proposal content.
- Collaborate with cross-functional teams (technical experts, project managers, and business development) to gather and develop proposal inputs.
- Review solicitations and interpret requirements, ensuring all proposal documents align with the guidelines outlined in RFP/RFI.
- Develop, organize, and write proposal content, ensuring clarity, accuracy, and compliance with solicitation requirements.
- Participate in strategy sessions, storyboarding, and proposal reviews to ensure alignment with customer requirements and company capabilities.
- Ensure timely submission of proposals and track progress through the proposal lifecycle.
- Provide support for post-submission proposal activities, including requests for clarifications and debriefs.
Requirements
- Bachelor’s degree in Business, English, Communications, or a related field (experience may be accepted in lieu of degree).
- 3-5 years of proposal experience, preferably within the DoD or federal contracting space.
- Proven ability to manage multiple proposals simultaneously in a fast-paced, deadline-driven environment.
- Solid understanding of DoD and federal government contracting processes.
- Strong writing, editing, and organizational skills with exceptional attention to detail.
- Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Effective communication and collaboration skills with the ability to work independently in a remote environment.
Preferred Skills:
- Experience using proposal management tools (e.g., SharePoint, NextStage, or other proposal software).
- Knowledge of the Shipley proposal process or similar best practices in proposal development.
- Experience with responding to Department of Defense (DoD) solicitations.
