Full Job Description

The Accounting Specialist – Accounts Receivable will be an integral part of the Finance and the Contract Management team. He/she will hold primary responsibility for the Accounts Receivable process. Additionally, he/she will play an important role supporting the Project Managers with contract lifecycle and payment collections. He/she will support the Controller and the CFO with financial reports, project setups, and investigating and resolving discrepancies.

Responsibilities

  • Review contracts for accounting-specific requirements and set up new project codes, sales orders, modifications and project labor codes for employee timesheets according to the contract terms.
  • Manage the contracts accounts receivable process, ensuring accurate and timely invoicing for all contracts.
  • Prepare and submit Invoices.
  • Post all invoices in the Deltek Costpoint accounting system.
  • Track contract revenue by region (state, county, city).
  • Track and reconcile incoming payments against issued invoices.
  • Follow-up on overdue invoices, send payment reminders, and collaborate with customers and PMs to resolve payment discrepancies.
  • Assist Contract Managers, the Controller and the CFO in maintaining the life cycle records of the contracts from the notice of award to the final closeout, such as start date of the contract, period of performance, funding, outstanding invoices, etc.  
  • Work closely with Contract Managers and the Accounting team to ensure accurate and consistent financial reporting and project billing and assist with month-end closing procedures.
  • Process bank deposits for incoming payments (checks and credit cards).
  • Respond to customer or staff inquiries in a timely fashion.
  • Assist with company and contract financial audits as necessary.
  • Assist with Purchase Orders as needed.
  • Be the back-up for Accounts Payable as needed.

Requirements

  • College degree, or 5 + years’ experience in accounting, especially AR.
  • Experience with Deltek Costpoint 8.2.0 is a must. Experience with specific Costpoint modules (Accounting, Projects, Materials and Time and Expense) is highly desirable.
  • Experience with QuickBooks is desired.
  • Must have excellent Excel skills with ability to create pivot tables, lookup formulas, etc.
  • Must have strong attention to detail.
  • Ability to accurately complete all assigned tasks with little or no supervision.
  • Must be able to accurately research information and report research results.
  • Must be a US citizen.
