The Role:

The DSD Operations Administrator acts as a liaison by connecting departments, providing customer service support, and facilitates the day-to-day office operations. Responsible for performing direct store delivery questions, clerical duties, answering, and routing incoming calls by resolving information requests, securing facility maintenance, managing supplies and equipment, and other general administrative activities as assigned.

Responsibilities:

Administrative Support:

  • Manage all office administrative activities, including daily mail and FedEx / UPS Package deliveries and shipments, ordering of office supplies, maintenance of office equipment, and other day-to-day office operations.
  • Responsible for the management and oversight of field deposits with checks and/or money orders.
  • Responsible for the paperwork and storage of documents as needed for governance and audits.
  • Coordinates facility maintenance to ensure the location(s) are being maintained.
  • Assist with the setup and management of local utilities and expenses.
  • Orders supplies for assigned office locations
  • Assists General Sales Manager with meeting scheduling and content creation
  • Plans site-wide team engagement events
  • Other duties may be assigned. 

Route Accounting System Support:

  • Work within the Route Accounting System (RAS) Encompass to review customer accounts, take notes, or assist the Finance Department with tasks related to customer delivery questions, end of day proof of delivery management, and assist on independent/local collections.
  • Responsible for end of day processes, including, but not limited to; daily route settlement, balancing of load sheets, and ensuring daily deposits are made.
  • Ensure with the help of the Accounts Receivables Manager that customers are added correctly and help maintain customer data for independent or local accounts.
  • Other duties may be assigned.

Requirements

Required Skills and Experience:

  • Direct Store Delivery or Route Accounting
  • Experience with route accounting systems, including daily balancing, and database management
  • Experiences with mobile devices, phones, tablets, etc.
  • Excellent communication skills
  • Computer literate, including Excel, Word, PowerPoint, and Access.
  • Ability to analyze customer aging reports to minimize delinquencies and identify risk
  • Self-directed
  • Experience with customer relations or customer service functionalities.
  • Valid Driver’s License
  • Must be able to lift products from 25 lbs. to 50 lbs. on a regular basis.

Preferred Skills and Experience:

  • Attention to detail and strong organizational skills.
  • Ability to handle multiple responsibilities and meet deadlines.
  • Experience with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
