Job Title: Veterinary Operations Manager
Location: Remote with up to 40% travel
About Us
Associated Veterinary Partners is a multi-site veterinary practice group with 18 locations dedicated to providing exceptional service to our partner practices, their pets, and their families. We are seeking an experienced, forward-thinking, and highly accountable Veterinary Operations Manager to oversee the efficient and effective operations of our existing practices and support the integration of our newly acquired partners.
Position Overview
The Veterinary Operations Manager will be responsible for overseeing and optimizing the performance of multiple veterinary hospitals. This role requires a strategic leader with a deep understanding of veterinary practice operations, strong managerial skills, and the ability to drive growth and operational excellence across multiple sites. The ideal candidate will be pivotal in integrating newly acquired veterinary hospitals into our network. This role is ideal for an individual with a strong track record in creating and executing new workflows and implementing technology solutions. A high level of accountability and the ability to address significant challenges with minimal oversight is required. This position requires a strategic mindset and a hands-on approach to drive operational excellence across multiple sites.
Key Responsibilities
Operational Leadership
- Implement and maintain standardized procedures and best practices across all sites.
- Monitor and improve operational metrics including patient care, client satisfaction, and financial performance.
- Provide hands-on support and guidance to hospital management teams during and after the transition phase, ensuring smooth integration and operational continuity.
- Assist in the resolution of operational challenges swiftly and effectively, with minimal supervision.
Vendor and Account Management
- Spearhead account changeover processes to provide a seamless transition experience for partner practices.
Workflow Creation & Implementation
- Devise and implement new workflows tailored to the needs of existing and newly acquired hospitals, ensuring alignment with company standards and operational efficiency.
- Roll out best practices and standardized procedures to streamline operations and integrate new locations seamlessly.
Technology Integration
- Lead the integration of new technology and practice management systems across acquired hospitals.
- Oversee the selection, deployment, and training of new software and tools to enhance operational effectiveness and data management.
Strategic Planning & Execution
- Assist in the execution of strategic plans to enhance operational efficiency, profitability, and growth within the region.
- Assist in the execution of strategic plans for the integration of new hospitals, focusing on workflow optimization, technology adoption, and overall operational improvement.
- Collaborate with senior leadership to align practice goals and integration strategies with broader company goals and objectives.
Financial Management
- Oversee budgeting, financial forecasting, and performance analysis for the region.
- Review and manage financial reports, ensuring adherence to budgetary guidelines and financial targets.
- Monitor and analyze financial performance post-integration to ensure targets are met and adjustments are made as necessary.
- Oversee and authorize practice purchases, maintaining adherence to company policies and budgets.?
- Assist in analysis of the profit and loss statements for each clinic, closely following and understanding underlying trends, and implementing changes to enhance financial performance.
- Drive revenue and manage costs.
- Understand KPIs and key dynamics in business to drive results, prioritize efforts, and make key decisions. Incorporate data into the decision-making process.
Team Development & Leadership
- Train and mentor hospital managers and support staff.
- Foster a culture of adaptability and continuous improvement within existing and newly integrated teams.
Quality Assurance
- Ensure compliance with veterinary standards, regulatory requirements, and quality benchmarks.
- Implement and monitor quality control measures to maintain high standards of employee safety, patient care and client service.
Communication & Reporting
- Facilitate effective communication between hospitals and the Success Center.
- Provide regular updates to senior management on practice performance, challenges, and opportunities.
- Maintain clear and consistent communication with hospital teams and senior management throughout the integration process.
- Provide regular updates on progress, challenges, and successes related to workflow and technology implementation.
Qualifications
- Minimum of 5-7 years of experience in operations management within the veterinary industry
- Strong understanding of veterinary practice operations, financial management, and regulatory compliance.
- Prior P&L management experience with a demonstrated track record of successful fiscal and operating leadership
- Ability to procure and analyze complex data, identify trends, and make data-driven decisions.
- Exceptional leadership, organizational, and communication skills.
- Strong leadership acumen, including excellent EQ and the ability to build relationships with other leaders in the organization, including local hospital doctor partners.
- Proficiency in Microsoft Office Suite and experience with practice management software.
- Willingness to travel extensively within the United States.
