Introduction to Young Dragonslayers

Young Dragonslayers is an innovative, woman-owned company that uses Dungeons & Dragons to help kids and teens forge meaningful friendships online. Our adult-facilitated virtual gaming groups help kids across the United States and overseas practice social-emotional learning skills in a supportive and inclusive environment.

The Opportunity


We are seeking someone to work virtually in a part time role for approximately 20-25 hours a month to support a small, woman-owned business providing creative, game-based services to support children's social-emotional health. The operations administrator will help us serve our clients more efficiently, allowing us to scale and improve, with the possibility of increasing hours over time.

In this role, you will work directly with the founder to manage our CRM and email communications using the Kartra system. Job duties include overseeing our quarterly launches, maintaining and improving our workflows, assisting with product sales, and communicating with program participants. Some executive assistant tasks, such as inbox management, are also included in the position.


The successful candidate will have excellent organizational and time management skills and strong attention to detail. A customer service mentality and the ability to think systemically will be useful in supporting our clients and continually improving our processes to better meet their needs.


Responsibilities

  • Execute our quarterly launch protocol to enroll clients in our programming using the Kartra system
  • Create and manage calendars, email sequences, broadcasts, and sales funnels for online products and services
  • Tag and segment email lists to organize our data for current and previous clients
  • Review our client’s database information to ensure accuracy of entry
  • Analyze our current systems to identify errors, make repairs, and identify opportunities for further streamlining of processes
  • Manage the founder’s inbox and reply to low-level customer support questions
  • Work on special projects from time to time as they arise within the operations of the business 

Requirements

  • Experience using Kartra to manage small business operations is strongly preferred
  • Familiarity with similar CRM/marketing platforms (e.g. Kajabi, ConvertKit) and ability to learn and adapt to new systems
  • At least 5+ years of closely related experience
  • Detail-oriented, consistent, and able to complete work thoughtfully and accurately
  • Skilled at monitoring, reviewing, and analyzing Kartra data to identify and fix errors
  • A focus on timelines, deliverables, and satisfaction for customers
  • Ability to work independently, multitask, and meet deadlines
  • Honest, upbeat, and able to communicate openly about anticipated problems
  • Proficient in Google Workspace tools
  • Analytic mindset and ability to think critically about current systems and opportunities to improve
  • Interest in children, mental health, and/or geek culture is welcome, but not required
