Full Job Description

We are seeking a highly organized and detail-oriented Real Estate Coordinator to join our dynamic team. As a Real Estate Coordinator, you will be responsible for managing transactions, property management tasks, and various administrative duties. Your exceptional multitasking skills and ability to work under pressure will ensure the smooth operation of our real estate processes. Requirements

Transaction Coordinator

  • Act as a liaison between sellers, buyer, title agency, lenders, inspectors, etc. during the process of successfully closing a real estate transaction once in contract. 
  • Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released.
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Communicate and maintain rapport with the sellers, buyers and title agents
  • Manage and property store all required documentation 
  • Initiate and review title searches with title companies
  • Maintain accurate CRM transaction data 
  • Schedule photos, inspections and any other walkthroughs, meetings, and or appointments with sellers, buyers, title agents, mobile notaries, property runners, etc.
  • Assist in negotiating/overcoming property liens and other title roadblocks
  • Coordinate all lending docs required for closings
  • Enter listings into the MLS with 100% accuracy, gathering all required data from sellers, the agent, and other sources
  • Follow up with clients after the transaction has closed to check in and request testimonial 
  • Various administrative task to support the team and team goals

Property Management Coordinator (Rentals)

  • Handle maintenance requests, ensuring prompt resolution and efficient vendor management.
  • Oversee collections and tenant relations, fostering positive relationships and addressing any concerns or issues.
  • Manage the onboarding process for new tenants, including lease agreements, vendor and utility payments, and coordinating move in logistics.
  • Monitor lease expirations and oversee the renewal process.
  • Conduct property inspections to ensure compliance with regulations and maintain property standards.
  • Partner with leasing agent on successful identification of new tenants

Miscellaneous

  • Manage the group interview process for potential hires, including scheduling, coordinating with hiring managers, and maintaining interview records.
  • Facilitate new hire onboarding, including preparing paperwork, coordinating training, and ensuring a seamless integration into the team.
  • Perform other administrative tasks and special projects as assigned.
