Full Job Description

Are you a motivated purchasing or supply chain professional looking for a company where you can make your mark? Are you a meticulous individual who loves working behind the scenes to keep things organized and on track? Have you been waiting for the right opportunity to align your career with your love for the Motorsports community? If this sounds like you, we have an exciting opportunity at Apex Wheels.

Apex is a leading provider of high-performance automotive wheels and accessories, catering to the motorsport and performance car enthusiast community. Our mission is to provide wheels that deliver real and measurable performance and to protect consumers from a misleading industry full of fashion-focused wheels through exciting technical education.

Apex’s Procurement team is responsible for keeping inventory in stock and flowing. The role of our Purchasing Coordinator is to handle the day-to-day movement of purchase orders and container logistics between our suppliers and Apex’s 3PL. Adding a coordinator to the team will allow our Vendor Manager and Procurement Manager to turn their focus to strategic battles.

Our small procurement team is tight-knit and fast-moving, so your ability to concisely share relevant information (verbally and in writing) with a broad range of internal team members, from your colleagues to our CEO. We expect that this position will have a moderate level of independent working time, after your initial onboarding and training period. This role is best suited to someone who enjoys working solo but also can positively collaborate with others frequently.

We’re not looking for someone to simply enter data - we want someone who will question data that doesn’t look right and will raise alarm bells early if something isn’t going to plan. You should be comfortable asking questions, validating information for accuracy, and keeping tasks on track and on time. We’re looking for someone whose exceptional attention to detail will give the team confidence that our i’s are dotted and t’s are crossed. Because you’ll be handling purchase orders, the lifeblood of our business, you must be passionate about getting things done right the first time - double-checking your work and the work of others for quality and accuracy should be part of your routine. If you’ve never touched a purchase order over $100k, this position is not for you.  Previous work in a warehouse or receiving inbound shipments is not sufficient experience for this position.

Apex's core business hours are Monday through Friday, generally 8:30AM - 5PM PST.

To be considered for this position, include the following in your cover letter: Tell us about the largest mistake you’ve ever captured on an outgoing purchase order and what you learned from it. Include the phrase Center Caps in your cover letter so we know you paid attention to the details! Finally, tell us briefly about your interest and background in Motorsports and if you have none, let us know what you’re most passionate about!

Responsibilities:

  • Supply chain support: You’ll be responsible for tracking containers in every phase of delivery - from confirming shipping documents when the container ships from our vendor, to when it arrives and is unloaded at our 3PL warehouse. This will include the state of Marketing and Production samples, processing vendor invoices, creating UPS and other shipping labels and assets, and assisting with container logistics such as tracking updates. Over time, you’ll be responsible for managing and coordinating weekly container bookings while taking cash flow and 3PL bandwidth into consideration. Monitor inventory levels of product boxes, center caps, and other shipping materials with our suppliers and raise the alarm when inventory is below the acceptable threshold.
  • Procurement support:  You’ll create and submit purchase orders, obtain order acknowledgments, confirm accuracy, validate payments, and everything in between. You’ll be responsible for tracking purchase orders in each phase of its journey - from submission to receipt.  You’ll review and process purchase orders, and ensure compliance with purchase terms. Verify and reconcile discrepancies in purchase orders and requisitions.  Maintain and access records such as invoices, purchase orders, and bidding contracts. Work within our 3PL’s WMS to ensure up-to-date and accurate information about incoming POs.
  • Project Management support: You'll be responsible for creating, updating, and closing tasks in our Project Management tool (ClickUp). You'll frequently coordinate with other department project managers by providing status updates on samples. When new projects are launched, you’ll be responsible for creating the project framework for our larger team to work from.
  • Workflows and Reporting:  As our team and company grows, we’ll look for your support in actively improving and streamlining processes, creating efficiencies in your everyday workflows and in workflows that connect with other teams. We’ll also look to you for building and updating reports for consumption by our cross-functional teams.  You will also handle one-off tasks like the creation of box labels for new products and fitments and other supportive tasks as needed.

Requirements

  • Exceptional attention to detail, organizational skills, and a proactive approach.
  • Excellent verbal and written communication skills with the ability to concisely relay information to key stakeholders and build positive internal relationships.
  • High school diploma or equivalent is required. An associate’s or greater degree in logistics, supply chain, or another relevant area is preferred.

  • Proficiency in Mandarin or Chinese is preferred.
  • We will give preference to candidates who reside in the following states: AZ, CA, CO, FL, GA, NJ, NY, OH, OR, PA, TX, WA, WI. We are not currently considering candidates in AK, HI, or MT.

Benefits

  • $25 - $30 base hourly rate. This is a full-time position and is eligible for overtime (though we don't expect a ton)
  • 100% Apex paid employee medical, dental, and vision benefits with buy-up options
  • Robust company contributions towards dependent medical benefits
  • 401k with employer matching
  • 2 weeks of paid vacation leave - earn more over time AND earn more as you grow
  • Paid Sick Leave
  • Paid Holidays
  • A flexible working environment where work/life integration is encouraged
  • Support your track addiction with reimbursements for HPDE and autocross event registration fees
  • Eligibility for the SEMA college grant and loan forgiveness program
  • Casual in-office dress environment where T-shirts, jeans, and shorts are welcome
  • Employee discounts and freebies on Apex products and swag
  • Participate in company activities including karting, spectating at races, track days, and more
