JOB TITLE: Program Coordinator

DEPARTMENT: Program Office

REPORTS TO: Director, Client Program Services

FLSA STATUS: Exempt

JOB TYPE: Full time

LOCATION: Remote

COMPENSATION: $55K-$65K

Summary of Position

The Program Coordinator supports the Program Office by providing field services, customer communications and planning, field assessment team coordination, and facilitation of all assessment processes as scheduled. The Program Coordinator will oversee all tasks, scheduling, data collection, team training, critical dates, performance quality, budget oversight, and service administration for each assigned activity ensuring that the assessment services offered are completed on time and to both internal and external customers satisfaction.

Objectives

• Leads planning and execution of field assessments related to Program Services.

• Serves as a primary point of contact for Program Office customer support.

• Identify best practices and procedures to inform future program services/activities.

• Maintain consistent communication with internal & external stakeholders.

Responsibilities

1) Planning & Coordinating Program Service Delivery

• Develop and maintain detailed project plans for all program services.

• Coordinate scheduling and resource allocation to ensure timely delivery of services.

• Oversee budget management, ensuring all program services are delivered within financial constraints.

• Collaborate with cross-functional teams to align service delivery with overall program goals.

• Conduct risk assessments and develop mitigation strategies for potential issues.

2) Field Execution of Program Services

• Supervise field assessment teams to ensure adherence to established protocols and standards.

• Conduct on-site visits to monitor the progress and quality of services being delivered.

• Ensure accurate and timely data collection during field assessments.

• Provide on-the-spot problem-solving and support to field teams as needed.

• Evaluate field assessment results and compile comprehensive reports for internal review.

3) Internal and External Team Communications and Follow-Up

• Serve as the primary point of contact for all communication between the Program Office and field teams.

• Facilitate regular meetings and updates with internal and external stakeholders.

• Ensure all customer inquiries and issues are addressed promptly and effectively.

• Maintain detailed records of all communications and follow-up actions.

• Develop and implement feedback mechanisms to continuously improve communication processes.

Skills

• Effective communication skills for providing regular updates to customers.

• Project management skills to establish pre-PO project milestone schedules and coordinate team activities.

• Problem-solving skills to remove roadblocks and implement best practices.

• Coordination skills to manage activities between sales, customers, and contractors.

• Meeting facilitation skills to schedule and lead Zoom status meetings.

• Financial management skills to monitor and approve expenditures and maintain financial records.

• Procurement skills to purchase or approve the purchase of equipment and supplies.

• Travel readiness and ability to manage travel requirements for the job.

Requirements

• 2-years experience in project management and/or project coordination

• Experience in leading teams.

• Strong organizational skills.

• Ability to generate analytical reports.

• Solution-oriented mindset.

• Available to travel for onsite program activities.

• Program management experience.

• Strong verbal and written communication.

• Adaptable & flexible – able to embrace change in a highly innovative workplace.

• Great attention to detail.

• Proficient in Microsoft Outlook, Excel, Word and PowerPoint.

NOTE: All Meteor new hires are expected to attend an in-person cultural orientation which requires travel to our home office in Gainesville, FL. Employees may also be required to travel and attend annual company meetings and events. All business-related travel expenses will be paid for by Meteor per our company travel and expense policy.
