As the Payroll and Special Projects Manager, you will hold a pivotal role in ensuring the smooth execution of payroll processes for our clients, overseeing a team of 4-6 Payroll Specialists. Moreover, you will lead and manage special projects aimed at enhancing our services. Occasionally, you may support Controllers with client-related tasks and responsibilities.
This position demands a blend of technical proficiency in payroll administration, adept project management skills, and a customer-centric mindset. The ideal candidate will demonstrate a track record of thriving in a fast-paced environment, adeptly managing multiple assignments concurrently. The role requires exercising discretion and independent judgment on significant matters.
The Payroll and Special Projects Manager should possess excellent written and verbal communication skills, collaborating closely with all levels of management, employees, clients, and external professionals. Additionally, they should be capable of leading a team with a friendly, positive demeanor and providing constructive feedback comfortably. Success in this role hinges on being quality and client-focused, results-oriented, detail-oriented, a team player, intuitive, organized, analytical, and dependable.
- Manage full cycle accounting processes including accounts payable, accounts receivable, and general ledger activities.
- Set up customer and vendor accounts efficiently and accurately.
- Conduct daily bank reconciliation of deposits to ensure financial accuracy.
- Post daily cash receipts from lockbox and electronic deposits into the system.
- Enter journal entries into QuickBooks accurately and in a timely manner.
- Record land freight costs into QuickBooks for proper expense tracking.
- Support monthly close processes and assist in financial report preparation.
- Assess, organize, and prioritize tasks and responsibilities across multiple clients daily to meet onboarding goals and deadlines.
- Exercise sound judgment in decision-making while addressing individual client needs.
- Provide training to Client Accounting Specialists when transitioning clients to the Client Services team.
- Demonstrate confidence in identifying problems and making recommendations for solutions.
- Offer feedback to Implementation Project Managers and Implementation Leads on the performance of Client Accounting Specialists during training sessions.
Requirements
To be considered for this position, the candidate will need:
- Experience with QuickBooks or NetSuite finance modules. (2-3 Years)
- Proficiency in Excel, including VLOOKUPs, SUMIFS, and Pivot Tables.
- Ability to effectively communicate complex information to diverse audiences, adjusting delivery based on experience level and skillset.
- Demonstrated attention to detail and a track record of accuracy and speed in current role.
- Capable of following instructions while also evaluating new solutions or potential efficiencies.
- Strong dedication to customer service.
- Proficient in researching, learning, and implementing new applications to meet client and company needs.
- Excellent written and verbal communication skills.
- Proven judgment and decision-making abilities.
- Familiarity with Microsoft Office applications, particularly Outlook, Excel, and Word.
- Experience working with SMBs in the $5M to $50M market is ideal
- Authorized to work within the US
