Overview
The Patent Paralegal will play a key role in managing our primary attorney’s calendar and inbox, while also helping to oversee patent projects and deadlines. This role includes regular communication with clients.
Success Measures
- Maintain and manage the attorney’s and firm’s calendar
- Track and schedule the firm’s upcoming deadlines
- Arrange calls and meetings for the attorney
- Review and calendar patent deadlines, following up with clients on upcoming dates
- Serve as a proactive gatekeeper for the attorney’s calendar and time
- Communicate with clients regarding the progress of their cases
- Handle client onboarding, including sending engagement letters, intake forms, and invoices
- Notify clients of new cases, pending matters, and allowed cases
- Schedule client calls with attorneys for case updates
- Order certificates and prepare/send electronic congratulatory letters for issued trademarks, copyrights, and patents
- Conduct searches and prepare reports as needed
- Manage invoicing for certain clients, including sending invoices and scheduling reminders
- Organize and manage dockets for larger clients, keeping a detailed spreadsheet of patents and deadlines
- Update large clients’ portfolios monthly
- Prepare and send forms to clients for signature
- Send thank-you emails or cards to clients after work completion
- Request and follow up on conflict checks
- Open new client matters and submit electronic approvals as required
- Create, edit, and process client bills as applicable
- Screen internal and external correspondence, emails, memos, and reports
- Conduct research as requested

Preferred Qualifications:
- 2+ years of intellectual property legal secretary experience
- College degree and/or Paralegal Certificate

Our clients and work are fun, fast-paced, and challenging. You’ll work directly with our founder, Karima, supporting her in staying in her zone of genius, and assisting our other attorneys and paralegals on a wide range of projects.
We don’t do fire drills. While we expect you to work efficiently and meet deadlines, we don’t micromanage. We’re organized, using checklists to ensure nothing is overlooked, and we’re always seeking ways to improve and streamline our processes.
