This is a fully REMOTE position as a Medical Administrator/Processor to join the team.

Training will be possibly held at multiple South Florida locations when you begin.

You must be in the United States.

  • This role is critical to the smooth operation of our practice, ensuring compliance with state and federal regulations, managing medical supplies, overseeing billing, and supporting patient care.

  • The ideal candidate will have a strong background in medical office management and be able to efficiently manage multiple responsibilities while maintaining a high level of accuracy and professionalism.

ROLES AND RESPONSIBILITIES

  • Compliance Officer
    • Act as the compliance authority, notifying management of updates.
    • Maintain the dispensing log, including medical supply orders and distributor-purchased medications.
    • Oversee the completion of Medical Director Oversight forms.
  • Medical Supplies
    • Serve as the office liaison, communicating with pharmacies and distributor representatives.
    • Notify staff of back-ordered medications/products.
    • Maintain inventory with the assistance of medical assistants, including medications, medical supplies, and shipping supplies.
    • Confirm delivery of orders and prepare them for storage or patient distribution.
  • Billing Management
    • Confirm the accuracy of and process payments for invoices related to medical supply orders, lab invoices, pharmacy orders, and shipping expenses.
    • Manage chargeback disputes and program/treatment payment processing.
  • Program Management
    • Approve or reject programs and process program payments promptly.
    • Create and submit prescriptions/orders to pharmacies or distributors.
    • Follow up on prescription/order updates and maintain accurate program status information.
  • Patient RX/Order Management
    • Receive and check in patient orders, cross-referencing prescriptions with products received with in house staff.
    • Manage the dispensing log, create RX labels, and prepare orders for shipment or pickup.
  • Miscellaneous
    • Perform other tasks as needed that may not appear on this list.

Requirements

  • Minimum 5 years of management experience (preferred).
  • Previous experience in medical office management (preferred).
  • Proficiency in general computer software, including Word, Excel, Salesforce (CRM), and Electronic Medical Records (EMR).
  • Bachelor’s degree in healthcare or a related field (preferred).
  • Strong leadership and organizational skills.
  • Knowledge of HIPAA, OSHA, and other federal, state, and local regulations.
  • Experience in maintaining medical supplies and working with patient management software.
  • Excellent communication skills, with the ability to interact professionally with medical teams, administrative staff, distributors, pharmacy representatives, patients, and guests.
  • Customer service-oriented with the ability to troubleshoot and develop solutions for patient care challenges.
