Full Job Description

The Client Service Group coordinator is highly motivated and organized, collaborating with the Client Service Group to ensure the team's day-to-day operations and long-term plans are met and overseeing the workflow of the Client Service Department. Reporting to the Business Operations Manager, this unique position will be a liaison between the Client Services Department and other internal teams (marketing, operations, sales), providing communication and solutions that support company initiatives.

Our ideal candidate will possess strong organizational skills, the ability to prioritize and manage multiple tasks, and have experience or interest in training and educating teams/personnel.

Requirements

ESSENTIAL FUNCTIONS & SUPERVISORY RESPONSIBILITIES

  • Identify opportunities for efficiency and improvements in the Client Service Group processes, client communication, client training, and client education.
  • Prepare reports and presentations on Client Services Group's operational performance.
  • Liaison to the Client Services Group and Relationship Management Team.
  • Develop and maintain strong client, banking, and third-party administration relationships.
  • Ensure compliance with all relevant regulatory requirements.
  • Contribute to strategic planning and decision-making processes.
  • Welcome and onboard new clients.
  • Research and resolve client issues, escalating complex situations as needed.
  • Oversees the daily workflow of the department.
  • Manage and motivate the Client Services Group Team.
  • Support the Client Services Group by identifying training needs and providing opportunities for training and education.
  • Oversees creating and maintaining client bank accounts.
  • Approves wire transactions.
  • Oversees account reconciliation to ensure accuracy and regulatory compliance for ESOP administration.

  • Ability to function well in a high-paced and, at times, stressful environment.
  • Proficient with Microsoft Office Suite or related software.

EDUCATION & EXPERIENCE

  • Bachelor’s degree.
  • At least two years of supervisory-related experience is required.
  • Salesforce experience is beneficial.
  • Experience in project management a plus.

PHYSICAL REQUIREMENTS

Prolonged periods of sitting at a desk and working on a computer.

WORK ENVIRONMENT & TRAVEL

This position is fully remote.

Ventura Trust meets in person twice a year at various locations throughout the United States, requiring all employees to be present.
