Position Overview:
We are seeking a detail-oriented and customer-focused Client Intake Specialist to join our team. In this role, you will be the first point of contact for potential clients interested in our tax return preparation services, all-in-one accounting services, and tax consultations. You will guide clients through the process, collect necessary information, and provide them with a clear understanding of how we work. Additionally, you will be responsible for conducting Zoom calls with clients, sending quotes, and ensuring a smooth transition into the appropriate service package.
Key Responsibilities:
- Client Consultation: Schedule and conduct Zoom calls with potential clients to discuss their needs regarding tax return preparation, all-in-one accounting services, or tax consultations.
- Information Collection: Gather all necessary information from potential clients to ensure we can provide accurate quotes and create tailored service plans.
- Explain Services: Provide a clear explanation of our service offerings, including the process, timelines, and what clients can expect.
- Quote Preparation: Work closely with the sales team to create and send personalized quotes to clients based on their specific needs.
- Client Onboarding: Facilitate a smooth transition for new clients, ensuring they understand the next steps and feel confident in our services.
- Customer Service: Offer exceptional customer service, answering any questions or concerns clients may have before they commit to our services.
- Record Keeping: Maintain accurate records of client interactions, information collected, and quotes sent using our CRM system (e.g., Pipedrive).
- Collaboration: Work with other teams, including the tax and accounting teams, to ensure a seamless experience for the client throughout the intake and onboarding process.
Requirements
- Skills:
- Strong communication skills, both verbal and written, with the ability to explain complex information in simple terms.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and client interactions effectively.
- Proficiency with CRM systems (e.g., Pipedrive) and basic office software (e.g., Microsoft Office, Google Suite).
- Comfortable working remotely and managing appointments independently.
- Experience with Zoom or similar video conferencing tools.
- Personality: A friendly, client-first mindset with a passion for providing excellent service and building relationships.
- Experience in the tax, accounting, or financial services industry is a plus.
