What You’ll Do
- Improve and Maintain our Technology and Systems
- Develop automations and systems within our CRM (Hubspot) and other tools to improve performance.
- Maintain our complex operational data and tech network, and ensure all our systems fire at 100% so our data can be trusted.
- Optimize our techstack to ensure it is simple, intentful and functions fluidly; you research new tools, and implement changes that improve our productivity.
- Maintain our internal and external platforms, ensuring every team member or contractor always has access to what they need.
- Improve and Maintain Workflows and Processes for Efficiency / Productivity
- Act as the go-to person for implementing and tracking the performance of a new Standard Operating Procedure, workflow or system.
- Work closely with teams and leadership to monitor and implement SOP documents, including team wikis.
- Ensure our team members can operate at 100% efficiency by recording and documenting procedures, processes and structures.
- Help answer questions around and optimize our systems so they are accessible, supportive and sustainable.
- Analyze and critique our workflows across the department for ways to optimize and make life easier.
- Manage new process or system launches to the team, and track/report on new SOP initiatives for optimization.
- Team Training & Development on Workflows, Technology
- Ensure the successful adoption of our toolkit through ongoing training and development.
- Monitor internal channels for new questions or troubleshooting amongst our team.
- Assist in the development and ongoing maintenance of operations systems training.
- Host regular team training and office hours, including onboarding technical support calls.
- Propose new optimizations or initiatives that would improve team adoption and literacy on the Dow Janes toolkit.
Your KPIs:
- Uptime of key platforms and teams within our platforms
- Reduction of “lost time” and friction across our teams
- Team literacy and satisfaction with our toolkit and training, based on regular feedback surveys
Who will you work with?
You will report directly to Haley, our Senior Manager, Operations, while working closely with our Operations Team Lead, other department managers and other team stakeholders.
Where will you work?
We work 100% remotely and are scattered around North America, from Washington to California, Florida, Texas, Massachusetts and Canada, as well as across the world.
That means you have the flexibility to work from anywhere - home, a coworking location, or remotely from Bali. As long as you have a stable internet connection with the ability to work predominantly in the PST timezone - you can take your pick!

Requirements
- Bachelor’s Degree or equivalent or higher in a related field, such as Business Administration or similar
- 2-3 years of experience in an operations role where your skills were used to manage large databases, training and coaching, workflows and complex technology stacks, operating procedures/systems
- At least 1+ years analyzing workflows, systems and processes for optimizations and breakdowns
- Proficient managing business technology, and troubleshooting/optimizing tools, with at least 2+ years of business technology experience
- Experience with Hubspot an asset, experience with CRMs a must
- Proficient at coaching and training team members at all levels of experience and skill
- Experience managing to metrics, and preparing actionable insights from funnel KPIs/metrics

- Base Salary of $64,000-$72,000 USD
